Position Description
Organize and execute CSI regional forums and events from beginning to end, maintaining high standards for external and internal clients. This involved event coordination, inter-department cooperation, client relations and profit management.
Key Areas of Responsibilities
- In charge of all logistic aspects such as set up, staging, branding, F & B, staffing, IT, live feed, virtual and video setup
- Implement policies and procedures to ensure quality and consistency
- Oversee the divisional budget control and payment settlement process
- Manage and coordinate with relevant parties and suppliers to ensure event services are delivered on time, within budget and with high execution standards
- Monitor and keep track of event logistic, including but not limited to accommodation, flights, and ground transportation etc
- Create & produce marketing materials such as brochures (including writing content), premiums and costumes
- Choose, communicate with, & manage external vendors such as merchandisers, hoteliers, public relations companies, event management companies, equipment companies, and entertainment companies
- Deal with crisis management onsite execution of forums and select events
- Engage & manage government officials, executive participants and corporate sponsorships
- Stay updated on the company's latest initiatives and create an event that aligns with them. Also monitor the external market trends to adapt or modify our event accordingly
- Comprehensive hands-on knowledge of all processes including working level technical aspects to ensure ability to train and mentor future department members
- Supervise projects handled by subordinates
- Keep updated on hotel venues and event facilities around the region
- Comprehensive knowledge of hotel internal working structures and processes
- Handle ad-hoc projects as assigned
Requirements
- Postgraduate or above
- Minimum 5 to 8 years’ relevant experience in Event Marketing, preferably in event management/production companies, investment banking, or hotel MICE within the finance industry
- Strong onshore event organising experience
- Detail-oriented, efficient, and able to perform under pressure
- Proven ability to drive event execution and process, with business-oriented event management experience
- Team player with ease in a multicultural environment; attentive to detail, able to meet tight deadlines, multi-task, creative, and innovative
- Strong problem-solving skills with the ability to engage the appropriate technical and internal resources
- Excellent interpersonal and communication skills with a strong command of written and spoken English and Mandarin; skilled in vendor and hotel negotiations
- Proficient in Microsoft Word, Excel, and PowerPoint; ability to master in-house database systems
- Occasional travel may be required
