As an Events Management Analyst in the Commercial and Investment Bank (CIB) Strategic Event Marketing and Sponsorships team, you will assist with cross-functional tasks supporting the full meeting registration process, coordinate production aspects of events, and ensure accurate attendee management. Responsibilities include generating reports, data entry, proofreading, name badge and meeting material production, and client follow-up. You will collaborate with planners and web designers to create website content, manage attendee communications, and provide on-site event coverage as needed. This role supports the CIB Strategic Event Marketing and Sponsorships team in delivering complex, high-impact events for employees and clients globally, ensuring process discipline, data-driven decision-making, and exceptional client experience.
Job responsibilities
- Proactively support Event Associates and Managers with all aspects of meeting planning, ensuring seamless execution and client satisfaction.
- Diligently oversee registration management, including invitations, attendee communications, and resolving travel or registration inquiries.
- Thoroughly test the functionality of Global Events Management, Stova, and BuyTheSell systems to ensure reliable event technology performance.
- Meticulously manage hotel rooming lists, handling reservation changes, additions, and maintaining accuracy for all attendees.
- Consistently ensure accuracy of web registration data through reporting, editing, and tracking updates in the registration system.
- Efficiently assist with venue research, data compilation, name badge and tent card production, packing travel-office boxes, and sourcing promotional products.
- Professionally deliver exceptional customer service, demonstrating strong oral and written communication skills across all levels, including senior management.
- Expertly apply organizational, analytical, and problem-solving skills to manage multiple tasks and meet deadlines in a fast-paced environment.
- Accurately handle event budgets, approvals, final accounting, and maintain attention to detail in all planning activities.
- Skillfully utilize Microsoft Office, with strong Excel (pivot tables), Word (mail merge), and familiarity with PowerPoint and Access to support event operations.
Flexibly travel to events and serve as on-site planner support, dedicating up to 30% travel to ensure successful event delivery.
