THE ROLE
This is a 50/50 role — half executive and personal assistant to our CEO while he is in New York City, half events coordinator planning and executing intimate dinners and executive gatherings for senior leadership and clients. You will be the person who makes things happen before anyone realizes they needed to. You are organized, discreet, resourceful, and completely at ease in rooms with senior executives.

WHAT YOU WILL DO
Executive & Personal Support
Manage CEO scheduling, personal logistics, reservations, and day-to-day arrangements while he is in New York City
Coordinate seamlessly with the CEO's PA to ensure nothing falls through the cracks
Anticipate needs before they arise and handle everything with professionalism and absolute discretion
Events
Plan and execute intimate executive dinners, client receptions, and leadership events for C-suite audiences in healthcare, financial services, and technology
Own the full event lifecycle — venue sourcing, vendor management, guest logistics, run-of-show, and follow-through
Support Sales and Client Services events as the role grows
WHAT WE ARE LOOKING FOR
3–7 years of experience as an executive assistant, events coordinator, or in a role that was genuinely both
Background in a startup, agency, or fast-paced high-growth environment
Professional and discreet — you have been trusted in rooms that require it
Comfortable moving between personal support and event logistics without missing a beat
New York City based — non-negotiable
Available for in-person work during CEO visits to NYC and key events throughout the year

Skills Required
- 8+ years in corporate or B2B events with meaningful experience in technology, CX, BPO, healthcare, or financial services; New York-based or NYC metro proximity required
- Full-cycle event ownership: strategy, budget, vendor management, logistics, on-site execution, and post-event measurement end-to-end
- Proven experience managing brand presence and executive activation at major enterprise conferences (e.g., CCW, HLTH, Gartner Symposium)
- Executive-facing event production experience designing and running high-stakes C-suite experiences
- Pipeline-oriented mindset: connect events to revenue impact and report on outcomes
- Operational discipline managing simultaneous events under compressed timelines and shifting priorities
- Established vendor and agency network across New York and key conference markets
- Strong cross-functional collaboration skills aligning Sales, Marketing, Brand, and executives
- Technology fluency: Cvent, Splash or equivalent; Asana or Monday.com; working knowledge of AI tools for event personalization and segmentation
