Events Coordinator (Contract, 12 months)

Together AI is seeking a highly organized and proactive Events Coordinator to support our growing events program. This role is ideal for someone passionate about logistics, community engagement, and creating exceptional experiences. The Events Coordinator will play a critical role in ensuring the seamless execution of events while building confidence and autonomy in managing end-to-end projects.

The ideal candidate is detail-oriented, resourceful, and eager to grow their expertise in event management.

Responsibilities

Event Logistics and Execution

• Coordinate logistical aspects of events, including venue arrangements, attendee registration, merchandise, catering, and AV needs.
• Manage event communications such as invitations, follow-ups, and on-site materials.
• Support social media and marketing efforts to drive attendance and engagement.
• Assist with post-event activities, including lead tracking, feedback collection, and reporting.

Event Ownership

• Take full ownership of events, such as hackathons, webinars, and meetups, managing them from initial planning to execution and post-event follow-up.
• Ensure these events align with Together AI’s strategic goals and maintain high standards of quality and impact.

Opportunity Screening and Assessment

• Evaluate inbound event opportunities, such as developer conferences, hackathons, and networking events, to determine their fit with Together AI’s goals.
• Assess ROI potential, resource requirements, and overall alignment, providing recommendations on whether to pursue these opportunities.

Internal Coordination

• Collaborate with internal teams, including product, research, and sales, to ensure content and messaging are aligned with event objectives.
• Support cross-functional coordination to prepare teams for their roles at events and align promotional efforts.

Marketing and Community Engagement

• Own the tactical aspects of promoting events across social channels, engaging the community, and driving attendance.
• Help ensure a cohesive and impactful presence for Together AI at all events.

Qualifications/Requirements

• 2+ years of experience in event coordination, marketing, or a related field.
• Previous experience managing or supporting tech events, hackathons, webinars, or developer-focused programs is highly preferred.
• Expected to travel 25% of the time for events.
• Familiarity with event registration platforms and tools, including managing attendee lists and troubleshooting registration issues.
• Experience communicating with guests, including drafting event invitations, coordinating RSVPs, and providing clear, timely updates to attendees.
• Availability to be on-site for events, ensuring smooth execution by managing on-the-ground logistics and providing real-time support.

Skills:

• Exceptional organizational skills with a meticulous attention to detail.
• Strong written and verbal communication skills for internal coordination and external engagement.
• Ability to manage multiple projects simultaneously and meet deadlines in a fast-paced environment.

Bonus Skills:

• Social media management, basic video editing, or content creation skills to enhance event promotion and engagement.
• Passion for event management and creating exceptional attendee experiences.

Compensation

We offer competitive compensation, startup equity, health insurance and other competitive benefits. The US base salary range for this full-time position is: $90-140k + equity + benefits. Our salary ranges are determined by location, level and role. Individual compensation will be determined by experience, skills, and job-related knowledge. This is a hybrid role based in the Bay Area.
