Position Summary

The Events Assistant supports the planning and execution of the firm's internal and client events. This role is ideal for a highly organized, detail-oriented individual with a passion for event planning, hospitality, and client service who is looking to build a career in the legal or professional services industry.

The successful candidate is proactive, polished, and eager to learn. They thrive in a fast-paced environment, can manage multiple priorities simultaneously, and are willing to jump in wherever needed to support the Events team. This role offers exposure to all aspects of event planning, from logistics and production to onsite execution.

Duties & Responsibilities:

  • Assist with the planning, execution, and post-event follow-up for the firm's internal and client events.
  • Independently coordinate smaller-scale meetings, office events, and internal hospitality functions.
  • Provide onsite support for firm events, including registration, guest hospitality, vendor coordination, room setup, and event logistics.
  • Prepare, organize, and ship event materials, giveaways, promotional items, gifts, and event collateral.
  • Produce and assemble event materials including name badges, signage, registration packets, seating materials, and agendas.
  • Create and maintain event invitation lists using InterAction and assist with updating contact information, track RSVPs and prepare attendee reports
  • Edit, proof, and distribute invitations and event communications through Vuture and Outlook.
  • Coordinate with the larger team to develop invitations, signage, and event collateral.
  • Assist with sourcing, ordering, and organizing promotional items and client gifts.
  • Coordinate restaurant reservations, catering, meeting logistics, audiovisual requirements, transportation, and other event-related services.
  • Maintain the department Events Calendar.
  • Keep detailed records in the firm cloud based system.
  • Process invoices and assist with budget tracking and credit card reconciliations.

Qualifications:

Education: Bachelor’s degree required.

Experience: Previous internship or professional experience in events, hospitality, marketing, or a related field preferred.

Skills and Abilities:

  • Passion for event planning, hospitality, and delivering exceptional client experiences.
  • Outstanding organizational skills with exceptional attention to detail and accuracy.
  • Excellent written and verbal communication skills with a polished and professional demeanor.
  • Ability to manage multiple projects simultaneously while prioritizing competing deadlines.
  • Strong interpersonal skills with a client-service mindset.
  • Proactive, dependable, and resourceful with a willingness to learn.
  • Ability to remain calm and adaptable in a fast-paced environment.
  • Proficiency in Microsoft Office Suite, particularly Outlook, Excel, Word, and PowerPoint.
  • Experience with InterAction, Vuture, or other CRM/event management platforms is preferred.
  • Availability to work evenings and occasional weekends.
  • Regular attendance and punctuality are essential.
The actual salary offered will be based on a number of factors including but not limited to the qualifications of the applicant, years of relevant experience, level of education attained, certifications or other professional licenses held, and if applicable, the location in which the applicant lives and/or from which they will be performing the job.
New York Salary Range
$60,000$70,000 USD
