About the Role
The purpose of the role is to provide the highest possible level of Event Management to key clients, Operations Manager, Team Leads and the Events Team overall. You will develop relationships across all areas of Navan sharing best in class market knowledge of Events and Event Travel and thus supporting clients’ key objectives in arranging events. You'll ensure maximum revenue generation in all areas of Navan Event while always ensuring significant return on investment to the client.
What you'll do
As a primary client liaison of the Events Department, you will further the vision and goals of Navan Events by providing outstanding support across Australia and beyond.
- Provide end-to-end event delivery, managing events from initial brief through to on-site execution and post-event reconciliation, covering venue sourcing, accommodation, meeting space, food and beverage, audiovisual requirements, and delegate logistics.
- Effective supplier & contract management by conducting competitive RFP processes, negotiate favourable rates and concessions, manage supplier contracts, and leverage preferred partner programmes to maximise value and cost savings.
- Execute delegate & registration management supporting delegate registration, attendee communications, rooming lists, travel coordination and event technology platforms to deliver a seamless participant experience.
- Create group and individual reservations and accurately input data into internal software system.
- Negotiate best fares with suppliers as well as flexible terms and conditions
- Assist our travellers with best-in-class personalised travel support, by helping them resolve issues before, during, and after travel. This may require helping with basic cancellations, changes, and updates to hotel, flight, car, and/or rail bookings.
- Work closely with client contacts to understand and meet program objectives/outcomes.
- Identifies clients' measures of critical success factors for project
- Maintains thorough project documentation to ensure contract and documentation policy compliance (i.e., service agreements, SLAs, etc.)
- Troubleshoot issues by regularly referring to our agent tools for guidelines on how to best assist the traveller.
- Financial & operational oversight, developing and manage event budgets, monitor profitability, oversee invoicing and reconciliation, ensure compliance with client requirements, and provide comprehensive event reporting and debriefs.
- Participate in regular team meetings to ensure you are up to date on new product launches, industry updates and exciting team initiatives and programs
- Constantly improve your industry and platform knowledge so we continue to set the standard for best-in-class event managers

What we're looking for
- A minimum of five years of event planning experience
- Excellent fare and ticketing knowledge including Published, Net, Group, and NDC fares
- Professional oral and written communication skills required
- Proficient MS Excel, Word, and PowerPoint skills along with the technical aptitude to learn newtechnology
- Ability to multitask with a desire to resolve urgent matters as quickly and efficiently as possible.
- An empathetic disposition with the ability to always maintain a professional attitude
- Experience and ability to adapt and thrive in a hyper-growth environment
- Excellent understanding of event/delegate management software (Cvent)
- 5+ years of GDS experience preferred
- An independent thinker who can use available resources to troubleshoot issues and resolve customer inquiries.
- Prior successful experience in developing and maintaining key client and Account Manager/Account Executive relationships
- Proven record with strong customer service skills
- Reliable and flexible with an openness to working non-traditional shifts (early mornings, late evenings, and weekends)
- An interest in travel with a basic understanding of world geography
