Position Overview:We are seeking a highly organized and customer-focused Equipment Advisor to join our team on a contract basis. In this role, you will serve as the single point of contact for the end-to-end fulfillment of new equipment orders, supporting customers across the construction, mining, forestry, and power systems industries.
This position plays a critical role in delivering an exceptional customer experience by managing the full lifecycle of equipment orders, from quoting and sourcing equipment to coordinating preparation, transportation, invoicing, and final delivery. You'll work closely with sales teams, operations, logistics, and other internal stakeholders to ensure every order is executed accurately, efficiently, and on time.

Job Description:
What You'll DoEquipment Order Management
  • Manage the complete lifecycle of new equipment customer orders from quote to delivery.
  • Source and allocate equipment and attachments according to customer specifications and sales agreements.
  • Coordinate equipment preparation activities and communicate scope requirements to internal teams.
  • Monitor order progress, customer timelines, and key milestones, proactively addressing delays or roadblocks.
  • Coordinate equipment transportation and delivery to customers.
  • Ensure all financing, credit, warranty, freight, and documentation requirements are completed before invoicing.
  • Process customer orders, deposits, invoices, warranty sales, back orders, and corrections.
  • Maintain accurate order documentation and tracking records.
Custom Quoting
  • Review and prepare custom equipment configurations and associated preparation costs.
  • Provide quotes for attachment-only sales and specialized customer requirements.
  • Collaborate with internal teams to support configuration changes and quoting enhancements.
Customer and Stakeholder Support
  • Act as the primary point of contact for sales teams regarding customer order status and progression.
  • Provide proactive updates and visibility on equipment orders to stakeholders.
  • Investigate and resolve issues impacting customer delivery timelines.
  • Partner with inventory planning, transportation, equipment preparation, procurement, and other cross-functional teams to drive successful outcomes.
  • Support branches and departments by providing guidance on equipment fulfillment processes and procedures.
Process Improvement & Team Support
  • Identify opportunities to improve workflows and customer experience.
  • Support documentation and standard operating procedure development.
  • Provide coverage for team members during vacations, absences, and peak workload periods.
  • Participate in continuous improvement initiatives and special projects.
What You BringRequired Qualifications
  • 3-7 years of experience in customer service, service administration, supply chain, logistics, equipment operations, or a related field.
  • Post-secondary education in Business, Operations Management, Supply Chain Management, Industrial Engineering, or a related discipline. Equivalent experience will also be considered.
  • Strong organizational skills and exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Excellent verbal and written communication skills.
  • Strong analytical and problem-solving abilities.
  • Proven ability to work independently while collaborating effectively with cross-functional teams.
Preferred Qualifications
  • Experience supporting equipment sales, logistics, transportation, warehousing, or distribution operations.
  • Knowledge of heavy equipment, construction equipment, mining equipment, forestry equipment, or power systems.
  • Experience with Caterpillar equipment or related industries is considered an asset.
  • Familiarity with ERP, inventory, quoting, transportation, or order management systems.
  • Advanced proficiency with Microsoft Office applications, particularly Excel, Outlook, and Teams.
