Agilent is collaborating with a leading biopharmaceutical company located in Belgium and is hiring for the integral and multifaceted role of Scheduling Coordinator to deliver high levels of customer satisfaction in a high-pressure environment, effectively coordinate vendor (third party/subcontractor) engineers for onsite maintenance activities and run and update a detailed scheduled services plan.

In this position, you will work closely with assigned customers, service vendors and internal teams to meet the clients’ service requirements for all service requests and projects. You will build successful customer relationships and aim constantly at delivering a high level of satisfaction. As needed, you will also run reports, perform parts logistics, Service Request creation and schedule Engineers’ preventative maintenance and/or installation services. You may also be responsible for recommending vendors, reporting costs, administrating procurement functions and facilitating service delivery.

Your main responsibilities will be to:
• Initiate Engineers visits:  Meet & Greet & Concierge (check for PPE/Certification/RAMS/PTW…)
• Own the overall support delivery and act as a first point of contact for contract and customer queries
• Coordinate and plan visits of Agilent or third-party engineers to ensure a successful completion of service
• Perform administrative duties such as quotation requests, purchase orders, balancing costs, logistics management, service orders
• Monitor performance metrics ensuring maintenance and repair are completed within the timeframe agreed with customer
• Answer various queries over phone, emails or directly on site
• Manage customer assets, ensuring inventories are accurate
• Run various reports and keep information updated in our SAP CRM System
• Schedule inductions and any relevant onsite training for third-party vendor(s)
• Supervise monthly costs and present financial reporting to the customer
• Solve a broad range of problems varying in complexity, involving multi-departments

This position will be based directly on the client site, in Ghent area. This is a temporary position of 18 months with the possibility of extension or conversion to a permanent role.

Qualifications

We are looking for a motivated individual with the following background:

First experience in an administrative, scheduling or customer oriented position 
Fluency in English and Dutch; French would be a plus
• Previous experience working in a laboratory setting and familiarity with GMP would be a strong plus

• Knowledge of, or experience with, EHS (Environmental, Health, and Safety) practices would be a strong advantage

• Proficiency in Microsoft Office
