Responsible for providing administrative and outreach support for St. Vincent de Paul of Baltimore program operations with a primary focus on the recruitment, enrollment, and coordination of youth for Camp St. Vincent, a summer camp serving youth experiencing homelessness and housing instability. This position requires regular travel to schools, shelters, and community-based organizations to promote the camp program, recruit eligible youth, and maintain enrollment levels of at least 175 campers throughout the duration of the camp season (June through early August).

This position also provides general administrative support, maintains program records, coordinates communication with families and providers, and assists leadership in ensuring successful program implementation.

 PRIMARY DUTIESCamp St. Vincent Outreach, Recruitment, and Enrollment
  • Conducts outreach to schools, shelters, transitional housing programs, and community service providers within the Baltimore City & County to promote Camp St. Vincent and recruit eligible youth.
  • Build and maintain relationships with partner agencies to ensure a consistent referral pipeline.
  • Ensure recruitment and retention of a minimum of 175 campers throughout the camp cycle from June through early August.
  • Present information about Camp St. Vincent at meetings, resource fairs, and community events.
  • Maintain active communication with case managers, school staff, parents, guardians, and service providers.
  • Track camper referrals, applications, and enrollment status.
  • Follow up with families and providers to ensure required forms and documentation are completed.
  • Assist with camper screening, eligibility verification, and placement.
  • Support planning and coordination of camper orientations and information sessions.
  • Maintain waitlists and replacement lists to ensure camp enrollment remains full.
  • Assist with coordinating transportation lists, attendance rosters, and camper assignments.
  • Provide administrative support before, during, and after the camp season.
  • Assist with resolving barriers that may prevent youth from attending camp.
  • Support camper retention by maintaining regular contact with referring agencies during the camp cycle.
  • Maintain accurate records related to camper recruitment, enrollment, and participation. 
  • Prepare reports related to recruitment numbers, enrollment status, and program participation. 
Community Engagement and Program Coordination
  • Represent St. Vincent de Paul of Baltimore in the community in a professional manner.
  • Attend community meetings, school meetings, and provider meetings as assigned.
  • Support outreach efforts to increase awareness of Camp St. Vincent.
  • Assist with networking and partnership development with service providers.
  • Help coordinate program logistics during the camp season as needed.
  • Communicate with staff, families, and providers to coordinate program needs. 

SECONDARY DUTIES
  • Uphold the vision, mission, and values of St. Vincent de Paul of Baltimore.
  • Support a welcoming, respectful, and trauma-informed environment for youth and families.
  • Attend staff meetings and required trainings.
  • Participate in professional development activities.
  • Enter data into tracking systems, spreadsheets, and databases. 
  • Assist with preparing program materials, packets, and forms. 
  • Support scheduling of meetings, orientations, and program activities. 
  • Assist leadership with special projects and program coordination tasks. 
  • Provide general administrative support to program leadership as assigned.
  • Perform other duties as assigned by supervisor.
QualificationsQUALIFICATIONS
  • High School Diploma required; Associate or Bachelor’s degree preferred.
  • Experience working in human services, youth programs, outreach, or community engagement preferred.
  • Experience working with youth experiencing homelessness or housing instability preferred.
  • Strong organizational and communication skills.
  • Ability to travel regularly to schools, shelters, and community sites.
  • Valid driver’s license and access to a vehicle during work hours required.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word).
  • Ability to manage multiple tasks and deadlines.
  • Ability to work independently in the field.
  • Ability to relate in a respectful, non-judgmental manner with individuals from diverse backgrounds.
  • Ability to maintain confidentiality.

PHYSICAL REQUIREMENTSENVIRONMENTAL CONDITIONS
