Summary:

Provides operational support to engineering department. Act as a liaison between engineers, management, and vendors. Responsibilities include managing project documentation, tracking workflows, and coordinating team schedules. Bridge the gap between technical teams and daily business operations to improve project documentation, streamline workflows, assist with budgetary tracking, and ensure seamless communication across departments.
 

Essential Duties and Responsibilities

Document Control and Data Management

  • Oversee the organization of engineering drawings, blueprints, Bills of Materials (BOMs), and technical documents. Manage digital workflows using systems like ERP.
  • Attend Department meetings (Sales, Marketing, PEC....) to gather and communicate upcoming requirements for Engineering support.
Manufacturing Engineering -- Project Management
  • Track the consolidated Engineering project schedule and communicate any items causing projects to fall behind schedule.
  • Assist with the tracking of project budgets. Purchase engineering supplies, manage vendor invoices, and monitor purchase orders
  • Act as the primary point of contact for vendor, client, and inter-departmental inquiries.
  • Identify bottlenecks in current workflows and assist in process improvement.
  • Coordinates installation activities with facilities, maintenance, and production teams to minimize downtime during machinery moves, new equipment commissioning, and plant reconfiguration projects
  • Tracks and reports project schedules, budget variances, and schedule deviations for active machinery build and equipment layout projects; escalates risks and issues to engineering management as appropriate
Process Management
  • Facilitates effective communication between internal team members, customers and ClarkDietrich sales team
  • Coordinates between internal teams, external customers, and ClarkDietrich sales team to ensure mutual comprehension regarding expectations, deadlines, and schedules
Office
  • Manages daily duties through tools utilized by management
  • Maintains a clean office environment
  • Cooperatively works with all team members
  • Participates and engages in office meetings and discussions

Qualifications:

 
Technical Skills
  • Computer literacy and technology proficiency
  • Proficiency in Microsoft Office (Word, Excel, Outlook, Teams, etc.)
  • Previous experience with databases
  • Previous experience with PDF editors a plus
  • Previous experience with AutoCAD a plus
Communication Skills
  • Effectively prepares written correspondence in a professional manner
  • Effectively communicates verbally
 
Management Skills
  • Strong organizational skills
  • Ability to prioritize a diverse workload
  • Detail oriented
  • Ability to maintain accurate records
  • Works independently and as part of a team

Education and/or Experience:

  • Bachelor's degree or equivalent experience
  • Previous experience in an administrative role
  • Previous role in construction or engineering a plus

Work Environment:

  • Office
  • 25% - 50% Travel

 

Skills Required
