Engineering Programs Coordinator (5 month contract to start)
We have an opportunity for an Engineering Programs Coordinator to join as a contractor in our growing Engineering Operations team in Burnaby, Canada, reporting to the Engineering Operations Lead Analyst. In this pivotal role, you will help drive operational excellence across the Engineering organization by coordinating programs, maintaining reliable operating rhythms, and transforming data into clear, actionable insights for leaders. You will partner closely with Engineering leadership, program owners, and cross-functional teams to run smooth internal forums, keep our engineering intranet and content hubs current, and leverage modern productivity and AI tools to streamline workflows and scale impact across a global organization.
Be a Contributor — What You’ll Do
- Support the planning and execution of internal Engineering programs, learning events, recurring forums (for example, quarterly Engineering All Employee Meetings, co-create a quarterly virtual scavenger hunt, and AI initiative sessions).
- Coordinate presenter flow, dry runs, and readiness checklists for key Engineering meetings; partner with speakers and program owners on content, timing, and recordings.
- Maintain accurate trackers, timelines, and status reports for Engineering Operations workstreams, providing clear visibility into program health, milestones, and risks.
- Build, refresh, and test simple dashboards or summary views (for example, attendance, engagement, completion metrics) that help leaders make data-informed decisions.
- Use AI-powered tools such as Claude, Glean, and Copilot to summarize meeting notes, extract action items, and generate draft reports and communications, validating outputs for accuracy.
- Run recurring audits of links, pages, and assets across Engineering intranet sites and shared drives.
- Create, update, and maintain process documentation, playbooks, checklists, and internal guides for Engineering programs and operations.
- Support employee recognition and rewards by keeping trackers accurate and preparing simple visuals or videos for engineering-wide forums.
- Draft clear, concise internal communications — including email updates, event invitations, post-event summaries, and intranet copy — using templates and AI assistance.
- Identify workflow bottlenecks across Eng Ops trackers, calendars, and content flows; recommend practical process improvements or lightweight automation.
Be Prepared — What You Bring
- 3+ years of experience in operations, program or project management, business operations, communications support, analytics, or a similar role.
- Proven ability to manage multiple priorities, recurring deadlines, and detailed workstreams with strong accuracy, ownership, and follow-through.
- Strong analytical skills, including experience building and maintaining trackers and reports in spreadsheets (for example, Excel) and summarizing patterns and themes for non-technical audiences.
- Experience creating or maintaining documentation, process guides, playbooks, or intranet/content hub pages (for example, SharePoint, internal portals).
- Proficiency with Microsoft 365, including Excel, PowerPoint, Outlook, and Teams, as well as shared drives and content management platforms.
- Practical experience using AI or automation tools (such as Copilot, Glean, Claude, or similar assistants) to summarize information, generate content, analyze data, or streamline operational tasks.
- Excellent written and verbal communication skills with the ability to tailor updates, summaries, and recommendations to different audiences, including leadership-facing forums.
- Strong problem-solving mindset with the ability to synthesize information, identify patterns, and propose practical, data-informed recommendations.
- High degree of discretion and professionalism when working with sensitive, early-stage, or leadership-facing materials.
- Bachelor’s degree in Business, Communications, Information Systems, Operations, Project/Program Management, or a related field, or equivalent practical experience.
