Job Description

​This role is primarily responsible to provide administrative support and coordination to various HR operations including job changes letters, data validation, and reference letters in compliance with the service level agreements, processes, policies, and procedures.  

  • Create and distribute job change letters, reference letters, and collect signed documentations from employees as applicable.
  • Connect with relevant key stakeholders and support groups to assist with employee data corrections, onboarding, offboarding, time off accruals, balances and other details
  • Facilitate and provide guidance to Managers, Human Resources, and other Centers of Excellence (COEs) when necessary, to help them initiate and process transactions in Workday.
  • Undertake comprehensive audit of pending employee transactions to follow-up with relevant approvers and resolve any issues to ensure appropriate final disposition and provide support where required.
  • Answer queries on administrative policies and practices and other areas via case management system in a timely manner; work on more than one issue simultaneously and prioritize urgency of requests
  • Following a prescribed template, document and escalate as needed based on the appropriate processes
  • Understand and utilize HR systems including Workday and the Employee Center including Self Service, Knowledge base and Case Management to manage employee data, inquiries, and employee requests
  • Ensure consistent application of HR policies and compliance with state/provincial, federal, and/or country laws and practices and corporate regulations
  • Maintain documentation and ensure that employee requests meet the policy for each process
  • Perform data validation tasks
  • Perform peer audit for PS Coordinators and fellow PS Specialists
  • Ensure accuracy of all data processed and entered in HR systems
  • Ensure key deadlines are met
  • Ensure strict adherence with standard protocols for electronic personnel file management and document storage
  • Demonstrate the highest degree of discretion and confidentiality
  • Identify and support selected simple process improvements to streamline processes 
  • Maintain the SOP/DTP of current processes and incorporate documentation updates as required.

 

Qualifications

Minimum Requirements:  

  • Bachelor’s degree or at least 3 to 4 years of relevant work experience is preferred but not required 

  • Basic knowledge and understanding of HR processes and procedures; has experience working with confidential information 

  • Experience working in an outsourcing, shared services, or similar model is preferred 

  • Experience using Oracle, Workday, ServiceNow or other similar platforms and tools is preferred  

  • Intermediate proficiency in MS Office tools

Working Environment and Physical Demands:  

  • Ability to work on their assigned shift and demonstrate flexibility to adjust schedule to support other regions when the need arises 

  • Ability to work on a hybrid setup
