POSITION SUMMARY:
We are seeking a highly organized and detail-oriented worker to fill a dual role of an Employee Experience and HR Coordinator to support the US HR and Administrative teams with a wide range of administrative and operational tasks. The ideal candidate will be proactive, resourceful, and capable of managing multiple priorities in a fast-paced environment. This role is essential to ensuring the smooth day-to-day operations of the department and supporting internal and external communications.
ESSENTIAL FUNCTIONS:
The responsibilities of this role include, but are not limited to, the following:
HR Administration
- Coordinate and manage daily administrative tasks, including scheduling meetings, maintaining calendars, and handling correspondence organized filing systems (digital and physical) for easy retrieval of information
- Perform other administrative duties as assigned to support the HR function
Employee Life Cycle
- Provide administrative support to the HR team in areas such as onboarding, new hire orientation, off-boarding, training.
- Assist with compliance and audit-related documentation including conflict-of-interest attestation process
Vendor Management
- Serve as point of contact to manage all US Human Resource PO’s
- Support budgeting and expense tracking processes
- Coordinating with internal teams to integrate vendor services into HR systems.
- Ensuring data security and privacy protocols are followed.
- Training internal staff on how to work with the vendor.
- Tracking vendor performance against SLAs and KPIs.
- Conducting regular reviews and audits.
- Addressing issues or service gaps proactively.
- Maintaining open communication with vendors.
- Managing renewals, renegotiations, or terminations.
- Building strategic partnerships for long-term value.
Support to HRBP, EAs
- Prepare reports, presentations, and other documents as needed.
- Serve as a point of contact for internal teams and external partners.
- Perform other duties as assigned to support the team and organization.
Events
- Help organize employee engagement activities, training sessions, and company events Assist with event planning, logistics, and coordination of internal and external meetings.

- Act as central point for all C&B invoices and process accordingly- including processing PO’s on time.
- Manage process for new vendors.
MINIMUM QUALIFICATIONS:
- Associate’s or Bachelor’s degree in Business Administration, Office Management, or a related field preferred.
- 5+ years of experience in an administrative or coordinator role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software.
- Must have strong HRIS experience (SAP, Workday, LMS)
- Ability to work independently and collaboratively in a team environment.
- Strong organizational and time-management skills.
- Excellent written and verbal communication abilities.
- High level of discretion and ability to handle confidential information.
- Ability to multitask and prioritize in a fast-paced environment.
- Experience in and/or working with tax consultants, 401k, audit systems and environments, insurance companies, IRS, finance and payroll.
COMPETENCIES/CONDUCT:
