THE POSITION
The Email Marketing Coordinator & CRM Admin is responsible for managing and optimizing customer relationship management (CRM) systems and executing email marketing initiatives that support lead nurturing, client engagement, and event participation. This role bridges the gap between marketing automation, data management, and creative campaign execution — ensuring that all client touchpoints are efficient, data-driven, and brand-aligned.
WHAT YOU DO
1. CRM & Email Administration
Maintain and optimize the CRM system to ensure data accuracy and integrity.
Manage contact segmentation, email lists, and automation workflows.
Support campaign setup, tracking, and performance reporting.
Administer authentication (SPF, DKIM, DMARC) and ensure deliverability best practices.
Test and refine subject lines, personalization, and cadence strategies.
2. Database Management
Oversee the collection, cleansing, and organization of client and prospect data.
Regularly audit CRM databases to remove duplicates, correct errors, and maintain compliance.
Collaborate with sales and marketing to align database structure with campaign goals.
3. Email Marketing Strategy
Execute email cadence and automation strategies for client nurturing and engagement.
Implement 1:1 authentication and beta testing of subject lines and timing strategies.
Track open rates, click-through rates, conversions, and optimize for engagement.
4. BPA (Business Process Automation) & Client Journey Management
Develop and manage automated workflows that improve client experiences and internal efficiency.
Monitor and refine the client journey to ensure timely communication and follow-up.
Coordinate with cross-functional teams to align automation with business goals.
5. Event Marketing Administration
Support marketing event logistics including communication, invites, and follow-up.
Manage event-related CRM data and coordinate Zoom or virtual event setups.
Compile prospect and attendee research to support outreach (e.g., ALTA new clients, events lists).
6. Landing Pages & Web Forms
Build and maintain marketing landing pages and web forms to capture leads and event registrations.
Ensure smooth integration with CRM and analytics tools.
Test and optimize forms for conversion and user experience.
7. Graphics & Creative Support
Collaborate with design teams to create branded email templates, graphics, and web assets.
Ensure consistency with brand guidelines across all creative outputs.

WHAT YOU BRING:
Bachelor’s degree in Marketing, Communications, or related field.
2+ years of experience in CRM management and email marketing.
Proficiency with major CRM and marketing automation platforms (e.g., Constant Contact, HubSpot, Salesforce, ActiveCampaign, etc.).
Strong analytical skills with experience in data management and reporting.
Familiarity with email authentication, deliverability, and compliance standards.
Preferred:
Experience in event marketing or client journey automation.
Knowledge of HTML/CSS for email and landing page customization.
Basic graphic design skills (Canva, Adobe Creative Suite, or similar).
