About the role:
The Operations Assistant plays a crucial role in supporting the overall effectiveness and efficiency of the E&I team. By managing and coordinating daily activities and administrative tasks, the Operations Assistant ensures that operations run smoothly and that the team can focus on delivering their core objectives. From maintaining schedules and organising resources to overseeing day-to-day logistics, this role is essential in creating a structured and reliable environment that supports both specific project needs and broader team functions.
In addition to administrative responsibilities, the Operations Assistant also plays an important part in financial management by supporting the reconciliation of the E&I bank accounts. This financial oversight ensures accuracy, transparency, and compliance with organisational policies. Through a combination of strong organisational skills, attention to detail, and proactive planning, the Operations Assistant contributes significantly to the operational success and financial integrity of the E&I team.
What you’ll be doing:
Manage and track Purchase Orders, process invoices, and support finance administration, including reconciling customer payments and bank accounts, using SAP Fiori and other financial systems.
Coordinate and support team travel requests, ensuring smooth and stress-free journeys for the E&I team.
Assist the E&I Leadership Team and the GM’s Personal Assistant with calendar management, event coordination, and high-level administrative tasks.
Maintain and update vital team documents and collateral, including organisational charts, to ensure information is always current and accessible.
Manage the logistics for meetings, conferences, roadshows, and presentations, creating memorable and flawlessly executed events both on- and off-site.
Provide flexible and proactive support across a variety of E&I operational administrative tasks to keep everything running smoothly.
About you:
Flexibility and adaptability to work in a fast-paced and evolving environment.
Proactive and willing to roll up your sleeves to help the team get the job done.
Previous demonstrated experience in Administration or similar position.
High level of attention to detail with exceptional organisational skills.
Ability to manage information confidentially.
Approachable with the ability to liaise with people from all levels of the business
Intermediate MS office skills (MS Word, Excel, PowerPoint, Teams – essential)
Willingness to learn new programs and systems.
