Position Summary:
The College of Science at Florida Atlantic University is seeking an Environmental, Coastal, and Ocean Sustainability (ECOS) Administrative Assistant in Davie, FL
The Administrative Assistant provides comprehensive administrative, operational, and programmatic support to ECOS, ensuring the effective delivery of services and resources to students across multiple departments at Florida Atlantic University. This role supports leadership operations, coordinates events and communications, and assists with fiscal and administrative processes to enhance the overall student experience.
Key Duties and Responsibilities:
Support the academic and programmatic learning needs of ECOS students across various FAU departments.
Manage and maintain the Director’s calendar, including scheduling meetings and coordinating priorities.
Provide administrative and organizational support to the Director, Associate Director, Assistant Director, and internal staff on an as‑needed basis.
Perform routine fiscal activities in Workday, including processing expense reports, spend authorizations, and requisitions, along with maintaining accurate records and Excel-based documentation.
Maintain and update departmental databases to ensure accurate and accessible information.
Coordinate and support ECOS meetings, events, and workshops (virtual and in-person), including logistics, registration, outreach, and preparation of presentations and materials.
Assist with travel arrangements, including booking and coordination.
Handle professional email and phone correspondence with internal and external stakeholders.
Monitor, maintain, and track office and program supplies.
Provide scheduling support, record meeting notes, and distribute minutes for meetings and conference calls.
Perform other job-related duties as assigned by ECOS leadership.

Minimum Qualifications:
High school diploma or equivalent from an accredited institution and two years of appropriate experience required.Salary:
