EA + Operations (Contract – Mat Leave Cover)

At Parallel Web Systems, we are bringing a new web to life: it’s built with, by, and for AIs. Our work spans innovations across crawling, indexing, ranking, retrieval, and reasoning systems. Our first product is a set of APIs for AIs to do more with web data.

We are a fully in-person team based in both San Francisco and Palo Alto, CA. Our organization is flat; our team is small and talent dense.

Job: Operations & Executive Support Lead — you will be the connective tissue across our company. You’ll ensure our executives, operations, and office run seamlessly, building the systems and rhythms that keep the team productive and focused. You’ll thrive in ambiguity, anticipate needs before they arise, and take ownership of execution end-to-end.
You: Love keeping things running smoothly and take pride in creating order from chaos. You’ve supported senior leaders, coordinated across multiple functions, and understand how great operations make everything else possible. You care most about enabling people to do their best work and making the entire company more effective every day.

Some of the tasks you’ll own:
Executive Support:

• Manage complex calendars, scheduling, and logistics for executives

• Coordinate internal and external meetings, including agenda prep and follow-ups

• Assist with travel arrangements, expenses, and ad hoc administrative support

Operations:

• Support employee onboarding and offboarding processes

• Partner with the recruiting team to coordinate interviews across teams and executives

• Coordinate with vendors, handle purchasing, and manage operational workflows

• Assist with documentation and process improvements across internal systems

Office Management:

• Maintain and restock office supplies and equipment

• Oversee facilities needs and liaise with building management

• Plan and execute office events, team dinners, and offsites

• Oversee the upcoming office relocation project, working closely with internal stakeholders, external vendors, and the project team to ensure a smooth transition
