Job Description

North 40 Outfitters in Great Falls, MT is looking to hire a Full-Time E-Commerce Administrative Assistant to join our team.  We believe that each team member plays a vital role in the success of our company.  We are looking for authentic and enthusiastic people who love our lifestyle and believe in service before self.  As an E-Commerce Administrative Assistant at North 40, you play a key role in supporting the Ecommerce Operations Manager in overseeing the daily operations of the Customer Support and Store-Based Fulfillment teams. Key responsibilities include handling administrative tasks, helping to identify process and training needs, assisting in the creation of standard operating procedures (SOPs), contributing to training development and delivery, and providing reporting and analysis on e-commerce sales performance. 

This full-time position requires the ability to work all scheduled shifts between the business hours of Mon-Fri 8 am to 5 pm. This shift may include working weekends and certain holidays based on business needs.

Qualifications

Customer Support Team:

  • Act as a superuser for the order management system and supporting systems 
  • Assist the Ecommerce Operations Manager with training and standard procedures development for use of these platforms 

  • Provide primary business-side input on processes, issues, enhancements to technical resources who support these platforms 

  • Assist the Ecommerce Operations Manager with tracking special orders/pre orders (meat birds and bees) and aid in identifying consistent and efficient processes to manage special orders 

  • Perform daily tasks to ensure accuracy of order management system and supporting systems 

  • Perform daily tasks to ensure payment is captured for E-commerce orders through our payment processor 

  • Perform research on reconciliation items identified by the Ecommerce Operations Manager based on a weekly report showing discrepancies between our systems (Bread Pay, payment processor, and point of sale system)  

  • Support Customer support representatives with BOPIS orders and ensure they are complete by verifying delivery and working with stores to cancel and refund BOPIS orders that are not picked up 

  • Process returns and defective items cooperating with the stores to complete the process 

  • Order issue investigation (syncing issues, payment processor capture issues, etc.) 

  • Foster a cooperative working relationship with private brands counterparts 

  • Assist Ecommerce Operations Manager in reviewing and sharing best practices across N40 and Private Brands to create consistent and efficient processes that we can help one another as necessary 

Store-Based Fulfilment Teams:

  • Assist the Ecommerce Operations Manager in developing standard operating procedures and proactively seek improvements to processes to ensure optimal fulfillment methodologies and practices are used 

  • Coordinate with the Ecommerce Operations Manager to be part of the monthly store fulfillment team meetings and an annual training summit 

  • Assist the Ecommerce Operations Manager to identify training needs, develop training, and deliver training both in-person and online
