For Linklaters Office in Warsaw, we are currently recruiting for the E-Billing Coordinator role.
About the team
Join our finance team as a valued member, supporting the firm’s financial health through timely and accurate insight. The team is globally diverse and dedicated to upholding high standards of integrity, teamwork, and continuous improvement.
In this assistant role, you will help to manage e-billing by maintaining records, supporting teams, and preparing reports to improve billing efficiency and compliance. The team ensures smooth submission of billing data to clients’ platforms, guides new client onboarding, manages submissions and rejections, and offers ongoing support to clients and practice teams.
You will be responsible for:
eBilling Platform Management: Uploading invoices to client systems in a timely manner and coordinating with clients and vendors to troubleshoot issues.
Query Resolution: Addressing and resolving queries and rejections from clients and fee earners promptly.
Deadlines: Monitoring and updating internal billing schedules to ensure internal and external deadlines are adhered to.
Data Management: Maintaining the eBilling console to ensure it is accurate and up-to-date; ensuring timekeepers/user records, matters, and billing rates, are also accurate and up-to-date.
Managing New Client Setups: Assisting with client configuration and implementation while ensuring compliance with eBilling policies and procedures, SAR rules and firm policies.
Client Communication: Liaising with clients throughout the eBilling process, from setup to payment.
Collaboration: Working with other teams (e.g., Credit Control, Client Finance, Billing and Pricing Teams) to ensure compliance with eBilling requirements.
Apply if you have:
Around two years of experience in eBilling activities at a professional services firm
Demonstrated ability to deliver eBilling responsibilities effectively, ensuring operational excellence and positive experiences for all stakeholders
Legal Finance experience - nice to have
Strong communication and teamwork abilities
Willingness and ability to travel for business to the United Kingdom as required
Demonstrated excellent written and spoken English
Familiarity with SAP is a plus
Demonstrated a good working knowledge of Microsoft Excel
