The DX Automation Project Manager reports to the manager of the Process Automation Center of Excellence (PA CoE) under the GBS Digital Transformation. 

The DX Automation Project Manager’s role is to identify, lead and execute the GBS organization’s strategic goal: process automation transformation across the GBS E2E business work streams utilizing Lean and Agile project management methodologies to deliver bottom line quantified results. This includes performing business process assessment, project planning and coordination, process automation technical design facilitation, technical coordination with cross functional teams and sustainment through standard procedures and bot governance. 

In collaboration with the E2E business areas, the DX Automation Project Manager will take the lead role in the process automation ideation, development of change management plan, designing the bot governance plan and monitoring/reporting automation activities in partnership with Connected Technology for both automation projects in development and operational.

The DX Automation Project Manager will be front and center in driving ‘process automation’ as part of culture transformation shift. He/she will be responsible for generating process automation successes and wins across the different GBS business areas by driving collaboration with business process owners through effective process automation transformations.

He/she will apply proven process requirement gathering methodologies, manage cross functional discussions and communications, conduct research and analysis, and apply problem-solving skills to qualify and quantify business automation opportunities and issues.

KEY ROLES & RESPONSIBILITIES / KEY JOB FUNCTIONS:

Technical Project Management

  • Drives engagement with Global Process Leads, Site Process Leads, Process Analysts and Stakeholders to understand existing business processes, identify opportunities for process automation, qualify automation business use cases, gather/clarify requirements for potential process automation, assist in creating technical design documents and technical design plan to communicate ideas and ensure alignment with business requirements;
  • Handle and manage simple to complex automation projects - design and develop simple (low code/low risk) to complex automation solutions based on identified business opportunities and requirements;
  • Lead, implement and monitor simple (low code/low risk) to complex (robotics, AI and ML) automation projects either in a single business area or across multiple E2E business work streams using technical project management standards and best practices:
    • Funneling and Qualification of Potential Automation Use Cases
    • Development of Business Process Diagrams
    • Creation of Business Case
    • Creation of Risk Management Plan
    • Development of the Automation Technical Design Plan
    • Development of the Bot Governance Plan
    • Creation of User Stories
    • Creation of Project Plan and Work Breakdown Structure for all automation projects and use cases
  • Provide business leaders and process owners assessment and measurement of the costs, benefits and financial value of potential amnd breakthrough automation opportunities/projects;
  • Monitor existing and operational automation processes or ‘bots’ to make sure they continue to perform at optimal levels of efficiency;
  • Document and archive reusable process automation design, scripts and frameworks that would drive efficiency for future automation projects.

Work Coordination Management

  • Engage business areas and stakeholders to identify and lead the end-to-end process automation development activities (discovery, document, test, deploy, maintain) using recommended Agile and Lean practices;
  • Work closely with Process Analysts and CT Digital Innovations team to facilitate the automation qualification process and design coordination through workshops and brainstorming session with process areas and cross functional teams;
  • Work with Process Analysts to ensure automation initiatives are done properly utilizing the Agile project management approach – this includes scope, milestones, detailed tasks / scheduling, and resource planning;
  • Manage stakeholder expectations and communications, primarily with the Global Process Leads (GPLs);
  • Monitor and report process automation performance and adoption across all GBS E2E process areas.

Continuous Improvement and Change Management

  • Frontline support to evangelize and drive process automation adoption across the GBS E2E process organizations
  • Serve as Process Automation Subject Matter experts and provide knowledge support to the business operations in terms of selecting the appropriate automation solution and digital platform approach in alignment with enterprise guidelines.
  • Provide guidance and/or training to Process Analysts and operations on automation tools and techniques
  • Facilitate and lead process automation activities and events (ex. hackathon / botathon events, roadshows, etc)
  • Coach, counsel and train operational managers and staff to apply support and sustain process automation culture.

Ideal candidate should have:

  • Experience leading projects (technical or non technical) that requires working with multi-disciplined teams; experience working with world-wide teams preferred;
  • Excellent understanding and application of analytical tools and project management tools. Must have MS Project, Visio and MS Office knowledge and use experience
  • Experience in gathering and soliciting business/process/customer requirements
  • Experience in process automation technology and automation development using simple to complex automation platform
  • Experience in defining, monitoring, and reporting key metrics
  • Experience in developing and documenting processes

Technical Competence

  • Must speak, read and understand English language fluently
  • Fundamental project management skills; certification preferred
  • Strong meeting, brainstorming and workshop facilitation skills
  • Must have strong knowledge and understanding of SAP, SAP modules and workflows
  • Should have teaching, presentation and communication skills
  • Ability to present and demonstrate complex procedures to diverse groups at various skill levels
  • Demonstrate ability to apply a systematic approach to problem solving; Lean / Agile project management experience preferred
  • Demonstrate knowledge on how to document current and future state business/transactional processes

EDUCATION, EXPERIENCE & CERTIFICATIONS BASIC REQUIREMENTS:

Educational Background

  • REQUIRED: Degree in Business Management, Engineering, Computer Science, IT or any equivalent
  • PREFERRED: Master’s degree in Business Administration, or in the field of IT, RPA or Digital Automation is a plus.

Relevant Work Experience

  • REQUIRED:
  • Minimum of 5 years operational experience in process analysis, data analysis, continuous and process improvement, operations or related function
  • Experience with software and/or automation platform development
  • PREFERRED:
  • CI or Project Manager work experience
  • Supervisory or operational management experience
