ABOUT THE ROLE
Based in the Dubai Head Office and reporting to the BU Head – Ship Management, the Crewing Officer will provide administrative and operational crewing support to Ship Management and Spot Tugs operations, ensuring the smooth functioning of all crewing and HR processes. The role acts as the first point of contact for crew while supporting compliance, employee relations, and day‑to‑day crewing activities.
KEY ACCOUNTABILITIES
Human Resources & Administration
Maintain and update crew records and HR databases
Ensure accuracy and confidentiality of employee data
Review and update crewing procedures in line with laws and best practices
Maintain job descriptions and crew documentation
Support HR reports, documentation, and audits
Crew & Operations Management
Manage tug crew scheduling, rostering, and leave.
Maintain an up-to-date tracker of crew roster, certificates, via, trainings, etc.
Handle ticketing and travel arrangements for crew
Coordinate vessel entry/exit approvals with agents
Ensure accommodation arrangements for crew
Maintain competency matrix and crew records
Manage and control victualing accounts for the assigned vessels
In coordination with Operations and Technical department, schedule and arrange training for the crew.
Check and verify the certificates of the crew prior joining.
Monthly and regular reports to the BU head covering crew costs and rotation of crew
Recruitment & Onboarding
Coordinate recruitment for spot tugs sea-based roles
Support onboarding (documentation, orientation, profiles)
Ensure accurate setup of new employee files
Conduct exit interviews and manage offboarding
Payroll & Attendance
Assist with payroll inputs (Spot tugs operations)
Address employee payroll queries
Monitor attendance, leave, and absence management
Employee Relations
Respond to employee queries on HR policies and benefits
Support grievance handling and disciplinary processes
Promote employee engagement and workplace culture
Performance & Training
Coordinate performance management processes as applicable
Support training programs for tug crew as per client requirements
Track improvement plans and follow-ups
Compliance & HSSEQ
Ensure compliance with labour laws and company policies
Support audits with zero non-compliance findings
Follow health, safety, security, and environmental standards
SELECTION CRITARIA
Qualification & Experience
Diploma or Degree in Crewing Administration or related field
Minimum 4 years of experience in Crewing of tugs / offshore vessels
Experience of working with crewing for ADNOC/QE/Saudi Aramco would be an advantage
Proficiency in MS Office (Excel, Word, PowerPoint, Outlook)
Strong English communication skills
