The DOT Compliance Coordinator supports the Company's DOT and FMCSA compliance program by maintaining compliance records, monitoring regulatory requirements, and assisting with transportation compliance activities. This role serves as a key resource for DOT compliance matters and works closely with Transportation, Fleet/Maintenance, EHS, and operational leaders to help ensure compliance with applicable federal and state regulations, reduce organizational risk, and promote a culture of safety and regulatory compliance throughout the driver population.

Responsibilities

  • Administers and monitors compliance with applicable DOT and FMCSA regulations and Company policies.
  • Maintains accurate, complete, and audit-ready Driver Qualification (DQ) files and monitors CDL status, endorsements, Medical Examiner Certificates, MVRs, and annual driver qualification requirements.
  • Monitors Hours of Service (HOS) and Electronic Logging Device (ELD) compliance, identifies violations, and assists with corrective action follow-up.
  • Assists with monitoring commercial vehicle inspections, registrations, maintenance records, roadside inspections, and related compliance documentation in partnership with Transportation and Fleet/Maintenance.
  • Participates in transportation-related accident investigations and root-cause analyses and assists in tracking corrective actions.
  • Supports DOT/FMCSA audits, compliance reviews, regulatory inspections, and internal compliance assessments.
  • Conducts routine transportation compliance reviews and assists with tracking corrective actions through completion.
  • Monitors CSA/SMS performance metrics and analyzes compliance, accident, and violation data to identify trends and potential areas of risk.
  • Coordinates and assists with DOT and transportation safety training for drivers and other applicable personnel.
  • Stays current on DOT, FMCSA, and transportation regulatory changes and communicates relevant updates to management and operational teams.
  • Prepares compliance reports and communicates findings, trends, and recommendations to appropriate leadership.
  • Assists with the development, implementation, and continuous improvement of transportation compliance policies, procedures, and recordkeeping practices.
  • Performs other related duties as assigned.

Qualifications

  • Minimum of 3 years of DOT/FMCSA, transportation compliance, fleet compliance, safety compliance, or related experience.
  • Strong working knowledge of DOT and FMCSA regulations, including Driver Qualification requirements, Hours of Service regulations, ELD compliance, commercial vehicle requirements, and DOT drug and alcohol testing regulations.
  • Experience administering or supporting a DOT Drug & Alcohol Testing Program.
  • Experience supporting DOT/FMCSA audits, compliance reviews, or regulatory inspections.
  • Experience conducting or assisting with transportation-related accident investigations.
  • Strong analytical, organizational, and problem-solving skills with exceptional attention to detail.
  • Ability to interpret regulatory requirements, identify compliance concerns, and recommend appropriate corrective actions.
  • Strong written and verbal communication skills with the ability to work effectively across departments and all levels of the organization.
  • Ability to manage multiple priorities, deadlines, and compliance requirements in a fast-paced environment.
  • Ability to appropriately handle confidential and sensitive information.
  • Proficiency with Microsoft Office applications, particularly Excel and Outlook, and experience utilizing compliance tracking systems and databases.

Physical Requirements

  • Ability to sit, stand, and work at a computer for extended periods.
  • Ability to occasionally travel to branch locations or terminals to support audits, investigations, or training.
  • Ability to occasionally lift and carry files, materials, or presentation equipment up to 25 pounds.
  • Ability to attend in-person meetings, audits, and training sessions, including some travel outside the immediate metro area as needed.
