Job DescriptionThe Documentation & Reporting Coordinator supports the successful delivery of technology projects by maintaining accurate project documentation, coordinating portfolio tracking and reporting, and developing clear end-user training materials. This position partners with project leads and subject matter experts to keep project information current, communicate progress, and help employees adopt new systems, tools, and processes.
Essential Functions
- Serve as the primary point of coordination for documentation across multiple concurrent technology projects, ensuring information is complete, accurate, and current.
- Create, write, and format project documentation, including project plans, process guides, standard operating procedures, meeting minutes, and risk logs.
- Develop and deliver end-user training, including training guides, job aids, quick-reference sheets, and presentation decks. Partner with project leads and subject matter experts to translate new systems, tools, and processes into clear, user-friendly materials.
- Maintain training records, calendars, and completion tracking.
- Track project milestones, deliverables, schedules, resources, dependencies, and open action items across the technology project portfolio. Follow up with project leads to close documentation gaps.
- Prepare regularly scheduled project status reports, consolidating information and spreadsheet tracking from multiple project teams into one accurate, current view.
- Draft and distribute project updates, announcements, and other project-related correspondence to support stakeholder communication.
- Handle sensitive information confidentially.

Experience and Education
- At least three (3) years of working knowledge of PC applications.
- Proficiency in Microsoft Office, particularly Outlook, PowerPoint, and Word.
- Advanced proficiency in Microsoft Excel, including pivot tables, lookup formulas, and mathematical formulas.
- Experience with project and document management tools, such as SharePoint, Zoho Projects, and Microsoft Teams, is required.
