Responsibilities
- Establish and maintain a proper, orderly, and comprehensive filing system for all project-related correspondence and documents.
- Receive, register, track, and manage all incoming and outgoing project documents, including assigning sequential tracking numbers, registering documents in the EDMS, and ensuring proper handling and storage in accordance with the Project Quality Plan (PQP) procedures.
- Communicate and coordinate with consultants to track deliverables and arrange discussions or follow-ups as necessary.
- Maintain and update project document records in the designated Share Folder.
- Coordinate and monitor all correspondences requiring urgent attention, particularly in the absence of the immediate superior.
- Follow up with the Project Team on any outstanding or unsubmitted hardcopies of outgoing documents.
- Perform general administrative duties to support the project team.
- Assist the Project Team with other administrative matters and tasks as required.
Requirements
- Minimum 3 years of relevant working experience, preferably in project administration or document control.
- Minimum Diploma in Business Administration, Public Administration, Office Management, or a related field.
- Proficient in Microsoft Office applications, particularly Word, Excel, and PowerPoint.
- Experience in project document control, document filing, correspondence tracking, and Electronic Document Management System (EDMS) will be an added advantage.
- Good communication, coordination, and organisational skills, with the ability to follow up effectively with consultants and project team members.
- Able to work independently with minimal supervision and manage multiple tasks effectively.
- Detail-oriented and able to maintain accurate and systematic project documentation.
- Willing to be based at the project site office.
Remarks: This is a contract position until 30-Jun-2027, renewable subject to performance and project requirements.
Skills Required
