Job Purpose
Provide administrative and technical document control support to
the Development Team by managing, tracking, distributing, and maintaining all
project-related documentation in accordance with company procedures, quality
standards, and project requirements. Ensure that all design and technical
documents are properly controlled, updated, and accessible to relevant
stakeholders.
Key Responsibilities
- Receive,
register, log, and track all incoming and outgoing project documents.
- Ensure
that the latest approved revisions of drawings and documents are available
for use and that document records remain accurate and up to date.
- Manage
and maintain design drawings, specifications, calculations, material
submittals, technical reports, contracts, and project correspondence.
- Upload,
organize, and maintain electronic documents within document management
systems such as SharePoint or similar platforms.
- Distribute
approved drawings, specifications, and technical documents to internal
departments, consultants, contractors and subcontractors.
- Monitor
document review and approval workflows and follow up on pending or overdue
responses.
- Maintain
document registers, revision histories, transmittal records, and
distribution logs.
- Coordinate
with architects, engineers, designers, project managers, consultants, and
contractors regarding document status and approvals.
- Ensure
compliance with company document control procedures and project
documentation requirements.
- Generate
documents and provide status updates as required.
Requirements
Qualifications
- Bachelor’s
degree in business administration, Document Management, Information
Management, or a related field.
- Professional
certification in Document Control or Records Management is preferred.
- Proficiency
in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and document
management systems.
Experience
- Minimum
3–5 years of experience as a Document Controller, preferably within
construction, engineering, infrastructure, real estate, or project-based
environments.
- Proven
experience in managing technical documents, drawings, contracts, and
project correspondence.
- Experience
working with consultants, contractors, and multidisciplinary project
teams.
- Familiarity
with document management systems and document control workflows.
Skills Required
- Bachelor's degree in Business Administration, Document Management, Information Management, or related field
- Professional certification in Document Control or Records Management
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Experience with document management systems (e.g., SharePoint)
- Minimum 3-5 years' experience as a Document Controller in construction, engineering, infrastructure, real estate, or project-based environments
- Proven experience managing technical documents, drawings, contracts, and project correspondence
- Experience coordinating with consultants, contractors, multidisciplinary project teams
- Familiarity with document control workflows, registers, transmittals, and revision history maintenance
