IS THIS YOU?

• You know dealership DMV and title operations well -- registrations, titles, liens, out-of-state transfers, and compliance requirements are work you've done at volume and done accurately

• You've guided or led a team through this work before -- you set workflow expectations, catch discrepancies early, and know when to escalate versus when to resolve

WHO WE ARE

Swickard Auto Group is a hospitality company in the retail automotive space built on one idea -- be the favorite of our guests, our employees, and our manufacturing partners. We operate 40+ dealerships across the West Coast, Alaska, and Hawaii, and whether you're in Portland or anywhere else in our network, the standard is the same. Do right by people, every time.

Based in Portland, the DMV Supervisor oversees a team of DMV Clerks supporting title and registration processing for Swickard's Oregon and Pacific Northwest dealerships.

WHAT YOU'LL DO

• Coordinate daily DMV and title workflow for assigned dealerships -- ensuring timely and accurate processing of vehicle registrations, titles, transfers, liens, and related documentation

• Provide day-to-day guidance, training, and work direction to DMV team members -- help coordinate coverage and reinforce established processes, performance expectations, and quality standards

• Review DMV transactions and supporting documentation for accuracy, completeness, and compliance with applicable state and local requirements

• Identify adjustments, corrections, and reconciliation discrepancies -- gather supporting documentation and coordinate routine corrections per established procedures and approval requirements; escalate complex matters to management

• Research and help resolve title, registration, tax, fee, lien, and documentation issues with dealership personnel, customers, lenders, and DMV agencies

• Monitor pending and aging transactions -- follow up with team members and partners to prevent delays, penalties, or unresolved items

• Ensure proper handling of all title work -- electronic and paper titles, lien releases, duplicate titles, title corrections, and out-of-state transactions

• Coordinate with Accounting, Sales, F&I, Inventory, and dealership personnel to address transaction discrepancies and support accurate deal processing

• Follow established controls for DMV documents, funds, fees, and records -- report control concerns or exceptions to management promptly

• Identify workflow issues and recommend process improvements; support rollout of approved procedures, automation, and system enhancements

• Stay informed of relevant regulatory and procedural updates -- communicate applicable changes to team members and refer interpretation or policy questions to management

• Prepare and maintain routine reports on DMV activity, outstanding transactions, adjustments, and compliance

WHAT WE'RE LOOKING FOR

• 2+ years of automotive dealership DMV, title, registration, or related administrative experience -- required

• Prior supervisory or team-lead experience -- required

• High school diploma or equivalent -- required; additional education or coursework in business, accounting, finance, or a related field preferred

• Knowledge of dealership DMV, title, registration, lien, and vehicle transfer processes -- and a basic understanding of accounting records, transaction adjustments, and reconciliation

• Strong attention to detail and organizational skills -- able to coordinate high-volume transactions accurately and on deadline

• Ability to provide day-to-day guidance, coaching, and support to team members

• Strong communication and relationship-building skills with internal and external partners

• Proficiency with dealership systems, DMV platforms, Microsoft Office, and related business applications

• Ability to follow established procedures, identify workflow issues, and recommend operational improvements

WHAT WE OFFER

• Medical, dental, and vision insurance

• Life insurance and supplemental coverage options

• Paid time off and paid holidays

• A supervisory role with direct impact on compliance, deal accuracy, and workflow quality across a 40+ rooftop organization

• Career growth within a high-growth dealer group with an expanding operational footprint

• Employee vehicle purchase and service discounts
