Join us and become part of a trusted network committed to excellence in orthopedic care.

As a DME Coordinator, you’ll play an important role in helping orthopedic patients get the equipment they need to recover safely and confidently. You’ll work closely with physicians, clinical teams, and patients to coordinate, fit, and dispense durable medical equipment (DME) while ensuring documentation and insurance requirements are completed accurately.

This is a great opportunity for someone with a healthcare or patient care background who enjoys working directly with patients but also thrives on organization, accuracy, and owning a process from start to finish.
What You'll Do

  • Fit and dispense prescribed orthopedic DME and educate patients on proper use, care, and expectations.

  • Coordinate pre-surgical DME fittings, including scheduling patients and ensuring they have the appropriate equipment and education prior to surgery.

  • Partner closely with physicians and clinical team members to ensure orders and supporting documentation are accurate and meet insurance requirements before equipment is dispensed.

  • Verify insurance requirements and obtain required patient documentation, including proof of delivery.

  • Collect patient payments for DME based on the portion designated by their insurance as the patient's financial responsibility.

  • Manage daily DME reconciliation and review previous transactions to ensure documentation is complete and accurate.

  • Maintain DME inventory and ensure appropriate products are available to support patient and clinic needs.

  • Complete quarterly inventory audits and maintain accurate inventory records.

  • Serve as a DME resource for clinical team members, providing education on proper dispensing processes, documentation, and insurance guidelines.

  • Build strong working relationships with providers, clinical teams, and operational leaders to create a smooth experience for patients.

What We’re Looking For

  • Previous experience in a healthcare, clinical, or patient-facing environment.

  • Strong communication skills and a passion for providing an excellent patient experience.

  • Comfortable providing hands-on patient education and learning how to properly fit orthopedic equipment.

  • Strong attention to detail with the ability to maintain accurate documentation and follow insurance requirements.

  • Organized and able to balance patient care, administrative responsibilities, and inventory needs.

  • Comfortable working collaboratively with physicians, clinical teams, and operational leaders.

  • Willingness to learn, receive feedback, and take ownership of responsibilities.

Preferred, but not required:

  • Experience in orthopedics, sports medicine, rehabilitation, athletic training, or medical assisting.

  • Previous experience with DME, orthotics/bracing, insurance verification, medical documentation, or inventory management.

Schedule

  • Monday–Friday | Daytime Hours

  • Typical coverage falls between 8:00 AM and 5:30 PM, with staggered shifts based on patient and clinic volume. This is an onsite position supporting our clinical operations.

Why OrthoVirginia?

  • At OrthoVirginia, this role is more than your next job—it’s an opportunity to build your healthcare career.

  • Gain hands-on experience in orthopedic care, patient education, clinical operations, and insurance processes.

  • Work closely with physicians and clinical teams.

  • Build skills that can open doors to other opportunities across OrthoVirginia.

  • Join an organization that believes in developing talent, growing future leaders, and promoting from within.

If you’re passionate about patient care, eager to learn, and looking for an opportunity to grow, we’d love to hear from you.
