Dispatching Operations Intern (Academic Credit))

Job Description:

The Dispatching Department Intern assists in supporting the daily operations of the dispatching and inventory team by performing clerical, inventory, and operational tasks. The role involves organizing and maintaining important documents, encoding inventory and sales records, assisting in monitoring the movement of appliances and furniture, and supporting dispatching activities to ensure accurate documentation and smooth workflow between departments.

Daily Tasks / Responsibilities:

• Organize and sort dispatching and inventory documents such as delivery receipts, transfer-in forms, dispatching copies, done delivery forms, and itineraries for proper filing and easy retrieval.

• Prepare and organize supplier copies of documents and maintain department records before forwarding them to the Accounting Department.

• Encode past and current transfer-in and transfer-out transactions into the inventory system or tracking files.

• Update and maintain the main inventory records to ensure accurate monitoring of stock movement.

• Encode sales invoices for appliances and furniture and verify details such as item quantity, supplier, and branch destination before submission to the Accounting Department.

• Assist in conducting physical inventory counts of appliances and furniture such as bed foams, sofa sets, wardrobes, and dining sets.

• Support dispatching operations by helping move appliances and furniture from the stockroom to the dispatching area when needed.

• Assist in organizing and arranging furniture displays within the showroom.

• Help maintain organized documentation and records for dispatching and inventory activities.

• Perform other administrative and operational tasks assigned by the Dispatching or Inventory Supervisor.

Qualified Courses:

• BS in Operations Management
