Director of Admission Services

The Center for Recovery and Wellness takes a holistic, strengths-based approach to recovery and wellness that responds to the distinct needs of each individual.  Programs include residential and outpatient addiction treatment, recovery services, prevention education, and community programming.  CRW offers culturally competent, evidence-based programs and services that strengthen individuals and communities, enhance resiliency, and foster lasting recovery.

We are seeking a full-time Director of Admission Services who will manage centralized admissions, clinical intake, triage, bed utilioxation, and outreach across CRW's full clinical care continuum. This includes OASAS Part 820 residential programs (Pride site), OASAS Part 822 ambulatory and outpatient clinics (Project Contact), and community support services. The Director will lead intake workflows, supervise admissions staff, drive program enrollment through external presentations and outreach, and ensures regulatory compliance across all admissions operations. 

RESPONSIBILITIES

Admissions Operations and Clinical Oversight 

• Manage centralized intake procedures and client admissions across all residential, ambulatory, and outpatient programs.
• Oversee bio-psycho-social assessments, LOCADTR evaluations, and clinical risk reviews to ensure appropriate client placement.
• Monitor residential bed occupancy and ambulatory clinic caseloads to meet program capacity goals.
• Handle clinical intake crises and provide direct guidance on complex or high-risk cases.
• Ensure all admissions records comply with OASAS Part 820, OASAS Part 822, OMH, DOH, HIPAA, and 42 CFR Part 2 requirements.
• Partner with billing to verify insurance, secure pre-authorizations, and resolve coverage issues before or at admission.
• Maintain and update the department policy and procedure manual.

Supervision and Staff Development 

• Provide weekly individual and group clinical supervision, coaching, and staff development to intake clinicians, CASAC counselors, and admissions staff.
• Manage staff schedules, assign daily duties, and evaluate performance in coordination with Human Resources.
• Support a trauma-informed work culture and maintain coverage plans so admissions capacity does not depend on any single staff member.
• Provide administrative and clinical supervision consistent with New York State licensure requirements and agency policy

Outreach, Marketing, and Referral Development 

• Lead community outreach and marketing by delivering presentations to outside agencies, hospital networks, court systems, and community groups to promote CRW services.
• Visit external sites to build and maintain formal referral pipelines and linkage agreements.

Data Collection, Compliance, and Monitoring 

• Track intake pipelines, waitlists, conversion rates, and placement metrics to maintain high program utilization.
• Oversee internal EHR intake databases to ensure accurate, timely data collection and state reporting.
• Conduct regular quality assurance audits of intake files and clinical documentation to ensure regulatory compliance.
• Prepare accurate admissions and utilization report for executive leadership and funding agencies. 

Other 

• Attend designated staff meetings, agency functions, and professional development trainings.
• Participate in community meetings, public speaking engagements, and agency site tours.
• Perform special projects and other related duties as assigned.

QUALIFICATIONS

• NYS Licensed Clinical Social Worker (LCSW) or NYS Licensed Mental Health Counselor (LMHC) required. LMSW candidates with substantial admissions and supervisory experience and a defined path to LCSW will be considered.
• Master’s degree in social work, mental health counseling, or a related clinical field.
• CASAC or CASAC-Advanced preferred.
• Minimum of five years of experience in behavioral health, including direct work with OASAS Part 820 residential or Part 822 outpatient programs. Experience across both preferred
• Minimum of two years supervising clinical staff.
• Demonstrated experience delivering presentations and conducting community outreach.
• Proficiency with electronic health record systems and state reporting portals.
• Sound clinical judgment under time pressure, with the ability to make and defend admission decisions.
