Duties and responsibilities

  • Answers telephones and direct calls to appropriate staff
  • Checks phone messages twice daily and return all urgent messages before lunch, midafternoon, and prior to leaving for the day
  • Responsible for obtaining and processing referral for all diagnostic scheduling
  • Schedule all diagnostics, process referrals; provide patient appointment, and instructions
  • Secures authorizations for all managed care cases in a timely manner
  • Pre-authorizations for all diagnostic scheduling as applicable
  • Maintains an accurate file system for insurance lists and office forms
  • Retrieves, routes, and processes information as appropriate from right fax daily
  • Orders in active queue should be cleared within 30 days
  • Tracks all authorizations and maintains authorization information by keeping up to date with the status and outcome of all requests
  • Documents and takes action on all routine orders within 72 hours of order being placed
  • Documents and takes action on all STAT orders within 24 hours of order being placed
  • Meets team average of 300 orders per month at minimum
  • Communicates with scheduling operators, clinical staff, managers/supervisors regarding inquiries and referrals
  • Communicates with clinical staff and third party payors regarding medical necessity for authorizations of home care services and reminders regarding insurance authorization expirations
  • Follow established procedures for authorizing requests or referring request for further review
  • Meet timelines placed by physician on each order
  • Follow confidentiality and security rules when providing information to outside sources
  • Performs other tasks as requested

 

Qualifications/Education Requirements

  • High school diploma or equivalent required
  • One year work experience with scheduling medical office appointments
  • Knowledge of medical terminology preferred
  • Completion of a recognized medical secretarial program preferred
  • Word processing and computer experience required
  • Answer multi-line phones
  • Good organizational skills
  • Must have the ability to deal with confidential information concerning patient diagnosis and medical records

Able to work 40 hours per week

Ability to read and understand information in writing

Sitting for long periods of time

Daily uses of hands to type, file, and write/sign documents

Minimum lifting requirements of 15 pounds in order to move office supplies
