Position: The Development and Administrative Support Specialist is responsible for maintaining all databases used by Development, preparing donor communication, data entry for all fundraising, special events, and community engagement programs, and providing office support for Development/Volunteers/Community Engagement and Administration (CEO, COO). The estimated percentage of time performing Development department tasks is approximately 75%, and 25% of time working on Administrative and office support tasks (subject to change depending on agency needs).
Responsibilities include, but are not limited to:
- Data entry and data management activities related to Blackbaud, Cognito Forms and other internet-based technology used by Development and Administrators the position supports.
- Maintaining the integrity of information stored in electronic donor records and updating information as needed.
- Creating lists, reports and spreadsheets for donor reports, mailings, benchmarking, financial tracking, etc.
- Preparing, sending, and storing paper and/or electronic donor and constituent correspondence (e.g. Thank you letters, e-blasts, targeted in-house group mailings, etc.).
- Serving as communication liaison for the leadership staff the position supports, which may include maintaining individual/team calendars, providing phone and email support, setting appointments, creating letters and other support services as necessary.
- Attending Board of Director meetings to record and prepare minutes for the Board Secretary’s approval, maintaining strict confidentiality.
- Performing duties as assigned for all development activities, including special events that may occur occasionally after normal business hours.
- Performing additional development and administrative tasks, including office equipment and supply management, donor research, greeting and assisting guests, etc.
- Providing outstanding customer service to all internal and external constituents.
- Maintaining confidentiality regarding sensitive information, communication and daily activities.
- Organizing and completing tasks in a timely manner – effectively manages time and sets priorities according to team and agency needs.
- Recognizing and solving problems that occur within areas of responsibility with minimal supervision.
- Perform all work functions with the highest level of integrity.
- Perform other duties as assigned.
- Responsible for being trauma aware, sensitive and responsive to youth, families and colleagues through the completion of new hire and annual trauma informed education/training.

Qualifications
Qualifications must include, but are not limited to:
- Associate’s Degree from a two-year college or technical school or an equivalent combination of education and work experience with at least one year experience in related field.
- Experience and proficiency in using Microsoft Office 365 programs, including SharePoint, Word, Excel, etc.
- Basic mathematical skills to prepare and interpret financial reports.
- Strong communication skills, written and verbal.
- Ability to successfully perform multiple concurrent tasks.
- Must be a "people" person willing to be part of a team effort.
- Experience using and deep understanding of donor management systems, like Blackbaud NXT or similar program, and other data management systems.
- Ability to work flexible hours when necessary, including some evenings and weekends.
- Meet physical demands of occasionally lifting and moving items, including equipment and supplies needed for events and material donations received.
Minimal travel required.
