Design Office Coordinator

Location: Amsterdam, Netherlands

Help organise the work that turns ideas into AI infrastructure.

We’re looking for a Design Office Coordinator to support Nebius’ mechanical and electrical design teams. You’ll help keep information organised, coordinate design activities and make sure the team has what it needs to move projects forward.

This is a junior role for someone with strong administrative skills and an interest in engineering and design. It could suit a recent graduate with internship experience, or an administrator looking to build a career in the data centre industry.

Working alongside experienced engineers, you’ll gain exposure to the systems that power and cool critical facilities. It’s an ideal stepping stone towards a career in mechanical or electrical critical facility design, with opportunities to build your technical understanding as your experience grows.

Your role

You’ll support the day-to-day coordination of the design office, working with internal engineers, project teams and external design consultants. Your focus will be on organisation, communication and follow-through, while learning how design projects progress from initial requirements through reviews and delivery.

Your responsibilities will include
  • Coordinate design meetings, prepare agendas, capture decisions and follow up on actions.
  • Maintain organised records of drawings, specifications, reports and other design documents, with clear version control.
  • Support design schedules and deliverable trackers, helping the team stay on top of deadlines and outstanding information.
  • Coordinate the circulation of documents for review and track comments through to closure.
  • Help engineers gather project information and prepare presentations, reports and design review materials.
  • Maintain registers of technical queries, information requests and decisions, directing questions to the appropriate engineer.
  • Support communication between mechanical and electrical engineers, external consultants and wider project teams.
  • Help improve templates, filing systems and everyday processes as the design office grows.
  • As your knowledge develops, assist with straightforward drawing, schedule or technical documentation tasks under an engineer’s supervision.
We’re looking for someone with
  • Approximately 2–3 years of experience in administration, project support or coordination. Relevant internships and placements can form part of this experience.
  • Strong organisational skills, attention to detail and the confidence to follow up on outstanding actions.
  • Clear written and spoken English and a collaborative approach.
  • Confidence using everyday office tools, particularly spreadsheets, documents, presentations and shared filing systems.
  • A genuine interest in mechanical or electrical engineering, building services and the infrastructure behind AI.
  • The ability to manage several priorities, ask questions early and communicate when something needs attention.
  • Availability to work in Amsterdam.

A degree or diploma in mechanical engineering, electrical engineering, building services, architectural technology or a related design discipline would be welcome. Familiarity with technical drawings, CAD, Revit or document management systems would also be useful.

What you’ll learn

Through working with the design team, you’ll develop an understanding of:

  • How mechanical and electrical systems support reliable data centre operations.
  • How engineers develop, review and coordinate designs across disciplines.
  • How drawings, specifications and technical decisions are controlled throughout a project.
  • How design teams work with construction, commissioning and operations colleagues.

As your skills develop, there is scope to take on more technical support work and build a foundation for a future mechanical or electrical design role.

What success looks like
  • Design information is accurate, current and easy to find.
  • Meetings lead to clear actions, owners and next steps.
  • Reviews and deliverables keep moving, with outstanding items flagged early.
  • Engineers can rely on you to keep coordination activities organised.
  • Your confidence and technical understanding grow alongside your contribution to the team.
