This is a unique hands-on Operations Specialist opportunity at a growing RIA. The Operations Specialist is responsible for keeping the firm's day-to-day operations organized, efficient, and scalable. The role will work closely with advisors and leadership across client onboarding, account administration, billing, vendors, technology, and compliance. The right candidate will take ownership, solve problems independently, escalate, and continuously improve processes. Position Purpose
The Operations Specialist is responsible for ensuring the RIA’s day-to-day operations run efficiently, accurately, and consistently. This role supports advisors and clients by managing operational workflows, coordinating vendors and custodians, maintaining systems and records, and improving processes. The goal is to create a scalable operational foundation that allows the advisory team to focus on serving clients and growing the business.
Role Scope and Boundaries
The Role Owns
Firm operations – day to day operational workflows, CRM data, documentation, reporting, vendor and custodian coordination
Client and Advisor Support – coordinate meetings, follow-ups, paperwork, and client communications. Create a consistent and high-quality experience
Billing & Financial Operations – track firm expenses and recurring costs.
Compliance & Process Support – maintain SOPs, update CRM, and ensure custodian and firm paperwork is complete
The Role Does Not Own
Delos Wealth Advisors. The role is limited to Delos Private Client Group
Portfolio construction, investment decisions, or ongoing investment management
Invoice Payment or Budget & Projections
Compliance, legal, or risk decisions
Primary Responsibilities
Firm Operations
- Manage day-to-day operational workflows and administrative needs.
- Coordinate account openings, transfers, paperwork, and client service requests.
- Maintain accurate client, account, and firm records.
- Manage CRM data, workflows, documentation, and reporting.
- Coordinate with custodians, broker-dealers, vendors, and other service providers.
- Track operational tasks, deadlines, and outstanding items.
Client & Advisor Support
- Support advisors with client onboarding and ongoing service needs.
- Coordinate meetings, follow-ups, paperwork, and client communications.
- Ensure client requests are tracked and completed promptly.
- Help create consistent, high-quality client experiences.
Billing & Financial Operations
- Coordinate advisory billing and monitor billing-related issues.
- Track firm expenses, invoices, and recurring costs.
- Coordinate with the firm's bookkeeper/accountant.
- Maintain organized financial and operational records.
Compliance & Process Support
- Support the firm's compliance processes and documentation.
- Maintain organized records for regulatory and compliance needs.
- Coordinate with the firm's compliance consultant or Chief Compliance Officer (CCO).
- Develop and maintain SOPs and workflows to improve consistency and reduce errors.
Qualifications and Experience
- Ability to demonstrate strong attention to detail.
- Ability to demonstrate strong written and verbal communication skills.
- 2 to 5 years of prior experience in a similar role preferred.
- Experience and knowledge of Tamarac and Charles Schwab platforms preferred.

Success in this role means the firm runs smoothly, proactively, and with minimal operational issues. The Operations Manager keeps priorities moving, ensures clients and advisors receive timely support, maintains accurate systems and records, and continuously improves processes to create scale.
