Job Summary:

This position is responsible for maintaining and updating data within Vertex business applications and ensuring accuracy and consistency across all internal platforms. Evaluate data content issues, contact customers, or reach out to business partners for data verification, correct or add information in the current business applications, and monitor performance against tactical objectives.

Essential Job Functions and Responsibilities:

  • Maintain customer data content by analyzing tasks from Account Services, Product Support, Sales, Contracts Administration, Training, Sales Operations, Marketing, and Finance that require modification to key customer data (e.g., ship/to and bill/to changes). Evaluate the account to determine the impact of the change and the possible questions needed for customer verification (e.g., Determine if the contact or address is tied to other products on the install-base).
  • Modify the appropriate data to ensure proper fulfillment and/or billing to our customer.
  • Analyze and verify data by utilizing current systems and reports to evaluate the issues caused by inaccurate data (e.g., Product fulfillment issues, invoices and contact emails). Work with customer to determine and update in business systems the correct contact and/or address for the relevant undelivered item(s). Efficiently manage the data lifecycle by adhering to data cleansing and maintenance, data entry training and data validation rules. Escalate information issues to management.
  • Support adherence to legal requirement to honor a customer or contact’s request to not receive communications that they do not wish to receive. Update restrictions requests for do not mail/email by utilizing business systems to make all appropriate changes to the restrictions. Restrictions can be setup for email or mail communication.
  • Monitor performance against tactical objectives by reviewing data reports for improved overall data maintenance. Share data trends with work leaders for better collaboration to enhance our data processes, minimize errors and work towards a more streamlined approach. Educate organization on data integrity issues and patterns to be addressed.
  • Conduct root-cause analysis for data issues/defects, and prevent recurrence through system enhancements, documentation updates, or training when appropriate.
  • Coordinate and plan special projects by meeting with appropriate functional area personnel to define new issues/requirements that develop for customer data management, coordinate plans to manage work effort, report statuses as required. Participate in data migration projects to ensure that data being converted is viable and accurate.
  • Enhance job knowledge by attending education workshops; reviewing professional publications; establishing personal networks; participating in professional societies; developing and/or maintaining proficiency in the latest personal productivity tools.
  • Identify and support opportunities to improve the efficiency of the data quality process through automation, simplification of tasks, or elimination of unnecessary steps using technology.
  • Review and revise current procedures and process document by analyzing current processes, document changes and recommend improvements (Document group projects and path for completion).
  • Continue to build internal and external relationships by facilitating between internal groups and current Vertex customers to coordinate internal projects and be readily available to assist both internal and external customers.
  • Internal and external support by closely working with relevant business owners to ensure data needs are being met.
  • Leadership support by creating a team vision through leadership that inspires and motivates a successful team culture. Empowering the team to take ownership of projects and showcase their own creativity and innovation.
  • Master data management – data steward by responsible for the accuracy and integrity of customer data across multiple system applications in accordance with data management best practices.
  • Audit data quality and proactively correct when needed.
  • Identify customer data issues and how to manage it with an emphasis on the customer experience. Customer being both internal and external.
  • Work within the master data management platform (Profisee) and other relevant business applications to implement change data requests and associated workflows.
  • Enhance quality, integrity, and reliability of the data.
  • Championing data governance policies, processes and procedures pertaining to data governance standards set by the business.
  • Ensure that core operational data domains across applications uniformly and efficiently as defined with rules and processes developed to provide the foundation for master data quality.

Knowledge, Skills, and Abilities:

  • Must have an understanding of the team and department functions, processes, and/or systems supported by the team and department, within 6 months of hire, and be an expert on the team's systems, processes, and/or functions within 12 months of hire.
  • Demonstrate attention to detail and good organizational skills. Excellent analytical and problem-solving skills. Excellent written and verbal communication skills. Professional phone skills and customer-orientation a must.
  • Exceptional aptitude for software applications. Proficiency with ERP and CRM applications required.
  • High-level knowledge of all Vertex products and services. Understanding of core operational business processes (sales, service, education, & finance).
  • Subject matter expertise in Salesforce, Workday and other relevant business applications as related to data integrity, management, sync, and flow between applications.
  • Ability to listen and understand information and communicate the same.
  • Must possess good organizational skills.
  • Must be results oriented customer focused and exhibit good interpersonal skills.
  • Proficiency in Microsoft office packages including Access and Excel.
  • Sufficient knowledge of business communications, including telephone, voicemail, e-mail, and operations of office machines such as photocopier, scanner, and fax.

Education and Training:

  • High School Diploma or equivalent; Bachelor’s Degree preferred.
  • Six (6) plus years of related data entry/customer service experience.
  • Three (3) plus years of experience with CRM and ERP applications (e.g., Salesforce and Workday).
  • Customer-oriented work experience.
  • Proven record of having attention for details.
  • Or equivalent combination of education and/or experience.
