Schedule: Monday to Friday, 11:00 PM to 8:00 AM

Key Responsibilities

  • Enter, update, and maintain patient, provider, and referral data across internal systems and electronic health records (EHRs).
  • Review documents, inbound requests, and referral records for accuracy and completeness.
  • Validate patient demographics, insurance information, and clinical documentation before submission.
  • Support referral processing by accurately encoding service details, intake notes, and status updates.
  • Monitor task queues and complete work in alignment with standardized workflows and turnaround time expectations.
  • Flag incomplete or inaccurate records and coordinate with the appropriate team for resolution.
  • Maintain documentation quality aligned with organizational standards for accuracy, consistency, and compliance.
  • Ensure the confidentiality of patient information and adherence to internal data security protocols.
  • Combing through physician schedules: Reviewing the weekly schedules of over 20 providers at least a week in advance to identify potential leads.
  • Tracking patient visits: Correlating the schedules with patient visits so that leads become 'hot,' enabling the enrollment team to reach out to patients just a day or two after they see their doctor.
  • Monitoring a dedicated email inbox: Constantly checking a newly established, dedicated email inbox in real-time to capture direct, outside referrals coming from health plans.
  • Checking health plan portals: Continuously monitoring the health plan portals for new member assignments, as some systems (like CHG) do not automatically send alerts when new leads are added to the list.
  • Screening lists for duplicates: Filtering through the bulk monthly lead lists provided by the health plans to manually identify and remove any duplicate entries before passing them to the enrollment team.

Qualifications

  • Experience in healthcare administration, insurance verification, or CRM documentation is an advantage.
  • Experience using CRM platforms—ideally Monday.com, HubSpot, Salesforce, or similar systems.
  • Strong attention to detail with the ability to identify missing, inaccurate, or incomplete information.
  • Highly process-oriented and comfortable following structured workflows consistently.
  • Strong organizational skills with the ability to manage and maintain accurate documentation.
  • Able to maintain consistency and accuracy even in high-volume or repetitive tasks.
  • Excellent verbal and written communication skills; customer service background is a plus.
