Job Overview
We are looking for a highly organized and detail-oriented Data Entry Specialist to join our dynamic Accounts Payable team. In this role, you will be a foundational contributor to the accuracy and integrity of vendor invoice data and financial records. Reporting to the AP Manager, you will be responsible for entering, validating, and organizing large volumes of financial data, ensuring compliance and efficiency across AP processes.
You will collaborate closely with internal stakeholders and external vendors to uphold data quality standards and support streamlined financial operations.
What You’ll Do
- Accurately enter supplier and vendor invoice data into our finance and document management systems
- Validate invoice information against receiving documents and purchase orders for consistency
- Support the AP team in the timely processing of high-volume transactions
- Index and scan physical/digital documents into internal repositories
- Ensure data integrity by identifying and correcting discrepancies
- Coordinate with team members to gather missing or incomplete invoice details
- Monitor the invoice queue to prioritize urgent entries and flag duplicates
- Maintain proper documentation of all entries for auditing and record-keeping
- Uphold all company policies and confidentiality guidelines
Qualifications
- Prior experience in data entry, accounting support, or administrative finance roles
- Proficiency in Microsoft Excel and Outlook
- Familiarity with finance systems (Microsoft Great Plains experience is a plus)
- High level of accuracy, focus, and attention to detail
- Strong organizational skills and the ability to manage multiple tasks
- Ability to work both independently and collaboratively in a hybrid team environment
