As part of the Brachy Order Management department the daily responsibilities of the Customer Order Coordinator will be to focus on the order management process, hence the management of customer orders containing the project (large equipment), radio-active sources and small orders. Arranging and providing the needed documents and requirements to execute the shipping and export of the orders will be the key activities to execute on.
What You’ll Do At Elekta
An important part is liaising with Customers. You will be acting as THE Voice to and from the Customer (the Elekta Sales Organization, Business Lines and Global Service Organization) towards and from the whole Brachy SCM and specifically the warehouse Expedition team and the Planning department. Your responsibilities include (but are not limited to):
- Arrange and provide the needed documents and requirements to execute the shipping and export of the orders: this includes the full coordination with freight providers for the large orders (project orders) and the generation/distribution of export documentation leading to the final dispatch and invoicing to Customers or Business Units
- Plan and execute in close contact with external sources manufacturer (vendor Curium) the delivery and return of source orders globally according to IATA regulations
- Provide the vendor with source manufacturing (rolling) forecast and transport planning
- Maintain relations with internal and external stakeholders with focus on customer satisfaction, compliance and the realization of revenue
- Manage different kind of order types and order processing system, hence providing support towards our customers using CRM and the Brachy E-commerce platform
- Execute order processing, import and export according to the latest medical devices regulations (ISO 13485, FDA 510k) and IATA regulations
- Responsible for investigating customer complaints (CLM cases) when related to Order Management. Process and execute on the return of orders (RMA’s)
- To be actively involved in improvement opportunities (continuous improvement according to Lean principles) throughout the department to improve customer delivery performance and compliancy, increase efficiency and to reduce costs

The Customer Order Coordinator will play an active role in representing the group’s vision and mission while supporting the goals of the overall business. We are looking for a top-notch candidate who will have the following skills:

- Ability to manage complex and sometimes stressful situations in a customer driven environment including decision making
- Works well with individuals and with teams.
- Willingness to learn / working on personal development.
- Able to cope with change.
What You Bring
- Experience of working within global international Logistics/ or Supply Chains with good understanding of international transportation (road and air).
- Excellent IT competence and experience with ERP (Movex) and CRM (Salesforce)systems, Export tools and MS Office for presentation and analysis.
- Experience with continuous improvements (lean).
- Excellent oral and written communication skills in Dutch and English.
- Bachelor’s degree (Business, Logistics, Economics etc.), or equivalent combination of education and work experience.
- Qualification and up-to-date knowledge of current procedures and requirements for import and export.
- Nice to have IATA Dangerous Goods certificates “Luchttransport gevaarlijke stoffen (algemeen)”and “Luchttransport gevaarlijke stoffen (radioactief /Class 7).
- Knowledge of radiation safety/Protection (“TMS verspreidbare radioactieve stoffen D (5B)” or similar) is highly preferred but not mandatory.
- Experience of managing customer orders & Letter of Credit’s, preferably within the Logistics, Purchasing or administration of Capital Goods/Projects LCs is strongly recommended but not obligatory.
