CRM Marketing Specialist (Total Expert)

Job Summary:
The CRM Marketing Specialist is responsible for the day-to-day administration, optimization, and strategic execution of our enterprise Customer Relationship Management (CRM) platform, Total Expert. This role focuses on driving Loan Officer (LO) adoption, building multi-channel lead conversion journeys, ensuring data integrity across system integrations, and tracking marketing ROI.
The ideal candidate bridges the gap between marketing technology (MarTech) strategy and hands-on execution, helping our sales team maximize customer retention and local market growth.
Core Responsibilities
- Platform Administration & Maintenance: Serve as the primary, hands-on administrator for Total Expert. Manage user permissions, system configurations, and routine platform maintenance.
- Campaign & Journey Development: Design, build, and deploy automated, multi-channel marketing journeys (email, SMS, print, and video via integrations like BombBomb). Create segmented drip campaigns tailored to database milestones, birthdays, loan anniversaries, and lead status.
- Data Integration & Quality: Monitor and maintain integration health between Total Expert and core data sources including our Loan Origination System (LOS) and third-party tools. Perform regular data auditing and cleansing.
- Content Management: Audit, update, and organize the corporate marketing asset library within Total Expert. Ensure all co-branded and individual marketing collateral complies with regulatory guidelines (RESPA/FINRA).
- Reporting & ROI Optimization: Track, analyze, and report on key performance indicators (KPIs) such as email open rates, journey conversion metrics, and LO usage. Use data insights to continuously optimize campaign performance.
Qualifications & Skills
- Experience: 2–4 years of experience in CRM administration, marketing automation, or digital marketing. Direct experience within the mortgage, banking, or real estate industries is highly preferred.
- Technical Expertise: Strong proficiency with Total Expert is required. Familiarity with Encompass and nCino along with complementary mortgage tech tools (e.g., Homebot, ListReports, BombBomb).
- Data Skills: Experience managing data mapping, field configurations, and automated triggers. Strong analytical skills with the ability to translate reporting dashboards into actionable marketing strategies.
- Communication: Excellent written communication and instructional skills, with a proven ability to coach and support sales professionals of varying technical abilities.
- Project Management: Detail-oriented and organized, with the capacity to manage compliance standards, content asset updates, and system updates simultaneously.
The salary range for this position is $70,000-$82,000 annually.
