Are you a stickler for great first impressions?


We are looking for an energetic and proactive Corporate Service Coordinator for our Edmonton branch for a 6-month part time contract role (20 hours/week). This role is responsible for administrative support to various teams, playing a key role in various committees, and a key contributor to making Long View a great place to work or visit.

A Day in the Life:

  • Create a great first impression of Long View by greeting our visitors and managing the Long View lobby
  • Mail/courier processing and distribution
  • Administrative support for the Edmonton branch VP 
  • Co-chair the HSE Committee, complete internal HSE audits and inspections
  • Co-chair social committee, planning and coordinating events
  • Create branch communication including marketing materials for office and client events
  • Assist with new hire onboarding
  • Meeting coordination including booking meeting rooms, catering orders, guest sign-in, hoteling station setups
  • Manage Corporate Services phone and inbox, respond to inquiries, order gift cards
  • Maintain tidiness and cleanliness of kitchen and boardrooms throughout the day
  • Vendor liaison for all office related maintenance including supplies, HSE items, custodial
  • Order and maintain office and coffee supplies inventory
  • Monthly credit card reconciliation and generating expense reports
  • Process timesheets and invoices for weekly financial batches
  • Streamline and maintain invoice creation and validation
  • Assist in processing and sending out invoices, attaching appropriate backup documentation, when required
  • Assist with project reporting, and review for accuracy
  • Update sales CLM, documentation reviews and filing, other sales coordinator related duties 
  • Ability to work in the Edmonton office 8 hours on Mondays and Wednesdays, and 4 hours on Fridays

What You Bring:

  • 2+ years’ experience in a coordinator or corporate services position
  • Certificate in Business Administration, Accounting Assistant, or equivalent is an asset
  • Excellent interpersonal and communication skills (verbal and written), with a focus on customer service and relationships
  • Experience in event planning and coordination
  • Proficient in Microsoft Office, Teams, and CRM
