Overview:
Facilitates the strategic meetings management process (SMMP) for internal clients through process, operations and project management on the 19th Floor in the Executive Dining and Meeting space. Serves as liaison between internal and external clients/employees dining, meeting, and event needs are met. Supports all levels of the organization up to and including Senior Management. Provides onsite event coordinating logistics as required.
Primary Responsibilities:
- Primarily responsible for the intake and scheduling of dining and meeting reservations for the 19th floor.
- Working across 19th floor support teams acting as a liaison through direct and virtual contact with Sodexo, Technology (Enterprise and MyTech), Facilities and Security. Communications to include daily, weekly and monthly meetings and as well as weekly written interactions.
- Professional communications with the C-Suite and Executive leadership – including managing monthly, quarterly and yearly meeting reservations for specific C-Suite and ELT administrators and executives.
- Project management and operations activities including calendar creation and maintenance; knowledge and utilization of reservation software, ability to troubleshoot and work across teams with technology and platform designers; creation and maintenance of databases; expert knowledge of bank-wide Microsoft 365-based platforms (Excel, Outlook, Teams, WebEx and Word); knowledge and utilization of One Drive and SharePoint.
- Responsible for booking, coordinating, and servicing events that are hosted on the 19th Floor.
- Track and reconcile event and travel spend for events; process invoices for events and travel related expenses as directed.
- Provide onsite event assistance as required.
- Support team leaders with event planning for Executive level meetings and events including, but not limited to, Board of Directors and Executive Management Committee events.
- Participate in industry related events as required.
- Understand and adhere to the Company’s risk and regulatory standards, policies and controls in accordance with the Company’s Risk Appetite. Identify risk-related issues needing escalation to management.
- Promote an environment that supports diversity and reflects the M&T Bank brand.
- Maintain M&T internal control standards, including timely implementation of internal and external audit points together with any issues raised by external regulators as applicable.
- Complete other related duties as assigned.
Education and Experience Required:
Bachelor’s degree and a minimum of 1 years’ work experience, or in lieu of a degree, a combined minimum of 5 years’ higher education and/or work experience, including a minimum of 1 years’ work experience
Experience working with multiple business lines
Experience with pertinent word processing and spreadsheet software
Experience managing multiple tasks and prioritizing among assignments
Experience working independently and as an effective team player
Domestic travel ranging from 10 - 25% of the time
Strong organizational skills
Detail-oriented
Knowledge of standard hotel/venue contract management
Education and Experience Preferred:
Bachelor’s degree in hospitality/travel industry or related field (i.e. Business Administration, Marketing, Communications, Public Relations, etc.),
Previous event and meeting planning experience
Awareness of Strategic Meetings Management Program (SMMP) processes
Awareness of marketing and event technology software
Member of industry association
Project Management experience
Demonstrates ability to multitask, to follow an order of operations, high attention to deal, and the capacity to handle stressful situations

M&T Bank is committed to fair, competitive, and market-informed pay for our employees. The pay range for this position is $24.76 - $41.27 Hourly (USD). The successful candidate’s particular combination of knowledge, skills, and experience will inform their specific compensation.
