Responsibilities:
Assist in the planning and coordination of corporate events, sponsorship activations, and client hospitality programs.
Support the creation of marketing materials and event assets to promote brand awareness.
Collaborate with cross-functional teams (e.g., Sales, Marketing, Communications, Design) to support event logistics and execution.
Help maintain clear communication with internal stakeholders regarding event updates and timelines.
Assist with event logistics such as scheduling, travel arrangements, and on-site support.
Maintain full ownership of event materials, including name tags, signage, giveaways, and printed collateral, ensuring accuracy, quality, and readiness for each event.
Serve as the primary point of contact for event vendors, managing contracts and collaborating closely with Event Planners and the Director of Events to plan and execute events from the initial concept through on-site delivery.
Track and monitor event budgets, including expenses and invoices, to support cost-effective planning.
Maintain and update the events calendar to align with broader marketing initiatives.
Support the use of event management tools and platforms for registration, communication, and attendee engagement.
Ensure consistency in branding and quality across all event materials and touchpoints.
Help gather and organize post-event feedback and data to support performance reporting and future planning.
Contribute to expanding brand visibility and engagement with key prospects and clients.
Qualifications:
Bachelor’s Degree in Marketing, Communications, Business, or a related field (or equivalent experience).
Minimum of 2 years of experience in event coordination, planning or event execution.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and deadlines in a fast-paced environment.
A collaborative team player with a positive attitude and willingness to learn.
Basic familiarity with event planning or marketing tools is a plus (e.g., Excel, Cvent, Stova, Canva, Eventbrite, Salesforce).
Interest in event coordination and marketing strategy.
Willingness to travel occasionally and support on-site event execution.
A knack for dealing with change and ambiguity. You're high-energy, enterprising and calm in the face of a storm.
