Job Title: Payroll Specialist


Job Summary: As a Payroll Specialist, you will be responsible for overseeing and managing all aspects of the payroll process. This includes calculating wages, preparing and processing payroll, and ensuring accuracy in compliance with relevant laws and regulations. The Payroll Specialist will collaborate with various departments to gather and verify payroll-related information, address employee inquiries, and maintain accurate records. This role requires attention to detail, a strong understanding of payroll processes, and the ability to ensure timely and accurate payroll processing.


Key Responsibilities:

  1. Payroll Processing:
    • Calculate and process employee salaries, wages, bonuses, and other compensation accurately and on time.
    • Ensure compliance with federal, state, and local regulations regarding payroll and tax requirements.
    • Review and verify timekeeping records for accuracy.
  2. Record Maintenance:
    • Maintain accurate and up-to-date employee payroll records.
    • Update employee information, such as changes in exemptions, insurance coverage, and job title/description.
  3. Collaboration:
    • Work closely with HR, Finance, and other departments to gather and verify payroll data.
    • Collaborate with managers to resolve discrepancies and address payroll-related inquiries.
  4. Tax Compliance:
    • Stay informed about changes in tax laws and regulations related to payroll.
    • Ensure accurate and timely filing of payroll taxes and other statutory deductions.
  5. Benefits Administration:
    • Administer and reconcile employee benefits, including health insurance, retirement plans, and other deductions.
  6. Reporting:
    • Prepare and generate various payroll-related reports for management and other stakeholders.
    • Generate ad-hoc reports as needed.
  7. Audit and Compliance:
    • Conduct periodic audits to ensure data accuracy and compliance with company policies and regulatory requirements.
    • Respond to and resolve audit inquiries from internal and external auditors.
  8. System Maintenance:
    • Utilize and maintain payroll software systems to process payroll efficiently.
    • Implement system upgrades and enhancements as necessary.
Qualifications

Qualifications:

  • Bachelor's degree in Accounting, Finance, Business Administration, or related field (or equivalent work experience).
  • Proven experience as a Payroll Specialist or in a similar role.
  • In-depth knowledge of payroll processes, tax regulations, and labor laws.
  • Strong mathematical and analytical skills.
  • Proficient in using payroll software and MS Office applications.
  • Excellent attention to detail and accuracy.
  • Strong communication and interpersonal skills.
  • Ability to handle sensitive and confidential information with discretion.

Certifications (Preferred):

  • Certified Payroll Professional (CPP) or other relevant certifications.
