About the Role
Are you a detail-oriented, proactive individual who thrives in a dynamic office environment? We're looking for a Coordinator, Workplace Experiences, to keep our Toronto office running smoothly. From managing mailroom operations to supporting internal events, this role is vital to ensuring a positive workplace experience for all employees.
This is a three month long contract position. Permanent/regular employment will be considered after 3 months of employment.
What You’ll Do
- Office Operations & Mailroom:
- Receive, sort, and advise staff of incoming mail and parcels.
- Prepare and send outgoing mail and courier shipments, ensuring proper packaging and documentation for domestic and international deliveries.
- Monitor and manage postage machine accounts and supplies.
- Oversee office cleanliness, coordinating with cleaning services and addressing maintenance issues.
- Event & Pantry Support:
- Keep pantries stocked and organized — from beverages and snacks to essential supplies like hand soap and sanitizer.
- Assist with in-office corporate events, including happy hours and meetings — helping with setup, logistics, and cleanup.
- Ensure conference rooms and collaborative spaces are tidy and ready for use, arranging special setups as needed.
- Administrative Tasks:
- Serve as co-chair of the local Health & Safety (H&S) Committee including conducting monthly H&S walk-throughs (fire extinguishers, exit signs, etc.),
- Order office and shipping supplies, including business cards, as requested.
- Create purchase orders (POs) and review/ process office-related invoices.
- Identify opportunities for process improvements and share ideas with the team.
What We're Looking For
- Education: Associate/College degree
- Experience: 3+ years in a similar role, ideally with Health & Safety experience.
- Skills: Strong initiative in problem-solving, organizational, and communication skills. Comfortable juggling multiple tasks and working independently.
- Proficiency in Microsoft Office Suite, especially Excel.
- A customer-service mindset and a "can-do" attitude.
