The Need  

For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Coordinator, Strategic Partnerships. 

 

The Coordinator, Strategic Partnerships is responsible for supporting the VP of Strategic Partnerships as well as the SP Division through comprehensive administrative support, timely logistical support, project management and coordination. Reporting to the VP of SP, the Coordinator will engage and maximize the VP and the Strategic Partnership Leadership Team’s productivity and effectiveness  

 

As a member of the SP Leadership Team, the Coordinator will be involved in work across the SP team and be expected to proactively identify opportunities for process improvement and increased efficiency. The SP Leadership Team team will succeed through collaboration to establish shared goals, determine priorities, manage tasks, and generate clear, consistent communication. 

 

This position is hybrid (onsite Tuesdays & Thursdays) and located in the Washington, DC area. It reports to the Vice President, Strategic Partnerships and is only available for candidates with the right to work in the US.   

 

Responsibilities 

 

Administration 

  • Analyze and problem solve the planning and scheduling the VP’s calendar based upon agreed priorities, including efficient scheduling of travel and accommodation for key initiatives.  

  • Equip the VP to participate fully in meetings through comprehensive preparation, agenda creation and briefings.  

  • Track the VP’s assigned deadlines based on agreed priorities. Maintain the VP task management system, ensuring timely completion of prioirtized tasks.   

  • On key projects, schedule project meetings, coordinate meeting logistics, record and document meetings.  

  • Provide logistical and administrative planning and support for strategic events. 

Policies and Procedures 

  • Support VP and SP leaders in compliance with all IJM policies affecting their work.  

  • Ensure accurate and timely processing of expense reports, consistent with IJM policies.  

  • Contribute to the maintenance of style guides and internal best practices and standards as needed for the SP team.  

  • Document processes as needed. 

Communication 

  • Coordinate with the SP Leadership Team to facilitate coherent internal team communication rhythms and processes.   

  • Process and screen incoming and outgoing communication and correspondence to flag work needed and ensure proper dissemination of information.  

  • Assist VP in preparation of communications materials, including inputs for emails, presentations, and meetings.  

Events and Logistics 

  • Research and orchestrate all travel arrangements and coordination of event logistics for VP.   

  • Ensure and set up meeting rooms and reservations as well as technology set up and functionality; Track and maintain designated conference room schedules and virtual meetings for availability and efficient use of resources.  

  • Assist and execute logistics for all special events and projects organized by the SP leadership team.   

  • Support the planning for and hosting of the SP team building events.   

General Tasks 

  • Participate in IJM’s community of spiritual formation 

 

Qualifications:   

 

Education & Experience  

  • 3+ years proven track record of effectively supporting leaders in a fast-paced organization preferred.  

  • Bachelor’s degree in Business Administration or related field.   

  • Demonstrated ability to learn and adapt quickly to effective use of technology tools to streamline administrative support.  

  • Excellent problem solving, planning and implementation skills.   

Technical Competencies  

  • Proficiency with Microsoft Office suite of tools.  

  • Experience with Salesforce CRM and Adobe products preferred.
