We are UMG, the Universal Music Group. We are the world’s leading music company. In everything we do, we are committed to artistry, innovation and entrepreneurship. We own and operate a broad array of businesses engaged in recorded music, music publishing, merchandising, and audiovisual content in more than 60 countries. We identify and develop recording artists and songwriters, and we produce, distribute and promote the most critically acclaimed and commercially successful music to delight and entertain fans around the world.

How we LEAD:
We’re looking for a Coordinator, A&R Administration to join a fast-paced, high-visibility team that supports recording projects across six major labels. This role sits at the center of the creative process—helping A&R, Finance, Business & Legal Affairs, and Production keep projects moving, budgets accurate, and payments on track. If you’re detail-obsessed, love Excel, and enjoy being the person who brings structure to a dynamic environment, you’ll thrive here.

How you’ll CREATE:

  • Own vendor maintenance end-to-end (adds/updates), including guiding payees through the Uniport portal registration process; partner closely with Financial Services’ Vendor Team and serve as the primary contact for new payees tied to new signings.
  • Input Purchase Order Requests into Uniport and track approvals to ensure timely processing.
  • Coordinate travel and accurately code recording-related costs.
  • Manage accounts payable activity in partnership with Corporate Finance; help troubleshoot payment and budget issues with A&R.
  • Deliver strong customer service to internal and external partners—ensuring accuracy, responsiveness, and clear guidance throughout the recording process.
  • File and process union-related contracts (SAG-AFTRA and AFM) as applicable; gather tax forms and required paperwork to support compliance.
  • Prepare reports, project summaries, and budget status updates for cross-functional teams and senior leadership.
  • Maintain organized documentation and accurate records to support proper auditing and corporate compliance.

What success looks like (first 90 days):

  • Vendor setups and Uniport submissions are accurate, complete, and processed on time.
  • Purchase orders and coding are clean, consistent, and easy to track.
  • Key stakeholders (A&R/Finance/Production) have timely updates and fewer last-minute escalations.

Bring your VIBE:

  • Strong working knowledge of basic Accounts Payable procedures and accurate data entry.
  • Advanced Excel skills (formulas, spreadsheets, reconciliations).
  • Knowledge and comfortability with internal AI initiatives (ChatGPT, Copilot etc.)
  • Excellent organization, follow-through, and ability to manage multiple priorities at once.
  • Comfortable learning proprietary systems (ex: Uniport) quickly.
  • Budgeting experience (recording industry a plus).
  • Experience in A&R Administration or a similar coordination role.
  • Familiarity with SAG-AFTRA and/or AFM paperwork.
