The Role

About the Role:

Reporting to a UK-based Manager with mentoring from peers, provide expense report processing and Research project administrative support for Research & Advisory experts across the globe. The applicant is expected to be responsive, proactive, organized, and able to work well both independently and collaboratively with colleagues in a fast-paced environment across different time zones.  Must have strong written and verbal communications skills. The applicant will be responsible for ensuring consistency and accuracy of travel and expense processing in accordance with corporate policies, internal controls, and guidelines. The work environment is fast-paced and blends the combination of collaborative interactions and independent work, must be results-driven.

What you’ll do:

Expense Management:

  • Accurately process expense reports for approximately 250 employees using Gartner’s Concur expense system.
  • Processing expenses in a timely manner following corporate card expense guidelines.
  • Collaborate with cross functional teams to resolve expenses issues.
  • Collaborate with Gartner’s Travel & Expense team to resolve questions and issues related to expense processing

Other Responsibilities:

  • Actively participates in meetings with team members and the T&E Lead - working together to resolve issues, share best practices, etc.
  • Collaborates with peers to ensure a united, consistent, and professional approach to supporting all stakeholders.
  • Continually reviews and evaluates our ITLTP expense processes & best practices, recommending actions to streamline and improve operational efficiencies if appropriate.
  • Assists with expense training with new hires as required.
  • Provides back-up cover for team members at the direction of the Team Manager.
  • Assist or lead projects when required.
  • Ad-hoc project support and other special assignments as the need of the business requires.
  • Provide exceptional client service with a positive and professional attitude to both internal and external clients.
  • Will eventually provide administrative and professional best practice services and support to increase analysts’ effectiveness along with proactively scheduling calls and managing calendars for experts. in APAC / EMEA.

  • Candidate must possess strong critical thinking, interpersonal and collaborative skills.
  • Candidate must have a strong sense of personal commitment and ability to embrace change.
  • Candidate must be able to communicate and collaborate effectively and demonstrate a client service mindset in all interactions.
  • Candidate must be detail oriented and organize effectively.

What you’ll need:

  • Bachelor’s Degree preferred.
  • 1 to 3 years’ experience in an administrative or customer support role.
  • Strong, clear written and verbal English skills are required. 
  • Proficiency with Microsoft Office, particularly Excel vLookup function and organizing large amounts of data, is necessary. 
  • Strong organizational skills.  Good mathematical skills will be important. 
  • Must be flexible, cordial, poised, efficient, and work well under pressure with a wide variety of personalities.
  • Experience managing multiple priority tasks concurrently.
