POSITION SUMMARY
The Youth & Government Program Coordinator for Cal Y is responsible for supporting the Y&G program and creating a welcoming and supportive environment for team members, volunteers, and program participants. This role is responsible for much of the administrative work and coordination for the Y&G program.

ESSENTIAL FUNCTIONS Create a welcoming environment for all staff, volunteers, and program participants even in difficult situations Responsible for communicating updates, deadlines, and other important information in a professional and welcoming manner with team members, volunteers, program leaders, and program participants Accurately process participant registrations in a timely manner using various systems and platforms including ActiveNet, Camp Docs, AirTable, etc. Troubleshoot any challenges or issues with registrations Create, update, and maintain all Delegation documents & forms in accordance with Y-USA branding guidelines Collect and review submitted documents from Delegations, and contact leaders regarding upcoming or missing documents Manage and coordinate the volunteer onboarding cycle, ensuring compliance with state laws and YMCA policy

Facilitate and track all volunteer and staff travel, including ensuring bookings on approved flights, and reviewing and submitting volunteer reimbursement requests to ensure accurate and timely completion. Responsible for the ordering of all office and program supplies, including maintaining inventory and
communicating with supervisors and the purchasing team for approvals, delivery, etc. Responsible assisting or leading the program set-up and tear-down, as needed Responsible for creating program surveys in collaboration with staff & key volunteers, Draft copy for program flyers, in accordance with Y-USA branding guidelines. Maintain the Youth & Government contacts database Create and manage social media content on Instagram, Facebook, LinkedIn, etc. in accordance with Y-USA branding guidelines and YMCA policies Manage the Y&G office and administrative volunteers at program event sites. During conferences/programs/events, assist participants with questions, respond promptly and courteously to all complaints, compliments and inquiries while following and enforcing the YMCA policies and procedures Participate Annual Campaign, Future Leaders Campaign (FLC), and other fundraising events by
identifying and recruiting campaigners Attend staff meetings and trainings as required Uphold YMCA policies for safety, supervision, mandated reporting and risk management Demonstrate the Six Pillars of Character (Trustworthiness, Citizenship, Respect, Responsibility, Caring, Fairness) as well as the YMCA Core Values of caring, respect, honesty and responsibility in all dealings with members, guests, volunteers and fellow staff Demonstrate competencies in and willingness to develop in the Cause Driven Leadership areas of

Qualifications

MINIMUM QUALIFICATIONS AGE: 21 years old or older

CERTIFICATION: YMCA Team Leader Certification preferred. Red Cross, American Heart Association, or ASHI First Aid/CPR/AED Certification, required within 30 days of hire. Valid Driver’s License, required.

SPECIALIZED SKILLS: Excellent analytical skills and attention to detail; Experience in team-based, cross functional work environments with effective and respectful communication skills; Ability to maintain confidentiality; Excellent oral and written communication skills; Proficiency in Microsoft Office Suite and Google Suite; knowledge and experience creating social media content.

RELATED EXPERIENCE: Previous experience with branded social media, preferred. Previous experience coordinating travel, preferred.
WORK ENVIRONMENT/MINIMUM PHYSICAL REQUIREMENTS You must have the physical, visual, and auditory ability to perform the essential functions of the job with or without reasonable accommodations Ability to lift 50 pounds Ability to become a YMCA driver including a valid drivers license, clean driving record, successful completion of a written driving test, successful completion of a behind-the-wheel driving test, satisfactory completion of pre-employment/random/post-accident drug testing
