Position Title: People Operations Coordinator
FLSA Status: Non-Exempt
Reports To: Talent Acquisition Manager
Supervisory Responsibilities: None
Position Summary
The People Operations Coordinator plays a key role in supporting the daily operations of the Human Resources department by delivering exceptional employee experience, maintaining accurate HR records, and ensuring efficient people processes. This position serves as a primary point of contact for employee inquiries, coordinates onboarding and employee lifecycle activities, supports recruiting operations, and assists with HR programs, compliance initiatives, reporting, and system administration.
Essential Duties and Responsibilities
Employee Records & Compliance
- Serve as a trusted resource for employees by responding to HR-related questions, concerns, and requests in a professional and timely manner.
- Act as a liaison between employees, departments, and external partners to facilitate communication and resolve inquiries.
- Foster positive working relationships across all levels of the organization to support employee engagement and operational effectiveness.
- Maintain and update employee personnel files and HRIS records, including new hires, transfers, promotions, pay changes, and terminations.
- Ensure accuracy, completeness, and integrity of employee data and HR documentation.
- Process employment verifications for current and former employees.
- Assist with unemployment claims administration, including gathering documentation, preparing responses, and coordinating with applicable agencies.
- Support compliance with company policies, procedures, and employment regulations.
Onboarding & Employee Lifecycle Management
- Coordinate and facilitate new onboarding activities to ensure a seamless transition into the organization.
- Schedule orientation sessions, training programs, and other employee development activities.
- Manage onboarding documentation, background checks, drug screenings, and pre-employment requirements.
- Coordinate new hire orientation calendars and related HR events.
- Assist with recruiting operations by coordinating candidate communications, interview scheduling, and pre-employment activities.
- Ensure candidates move efficiently through the hiring process and are onboarded in a timely manner.
- Process and distribute pre-adverse and adverse action notifications as required.
HR Operations & Systems
- Support the administration, maintenance, and continuous improvement of HR systems, tools, and processes.
- Update and maintain HR-related spreadsheets, databases, and reporting tools for assigned locations.
- Assist with the implementation of new HR technologies, programs, and system integrations.
- Generate reports, collect data, and provide administrative support for HR initiatives and business needs.
- Assist with HR metrics, workforce reporting, and data analysis to support decision-making.
Performance Management & Projects
- Coordinate and facilitate the employee performance review process.
- Assist with the communication and deployment of company policies and procedures.
- Support strategic People Operations initiatives and special projects as assigned.
- Collaborate with HR team members to identify opportunities for process improvement and operational efficiency.
Administrative Support
- Provide administrative and clerical support for the Human Resources department.
- Prepare correspondence, reports, presentations, and other HR-related documentation.
- Manage multiple priorities while maintaining a high level of accuracy and attention to detail.
Required Knowledge, Skills, and Abilities
- Strong understanding of HR administrative processes and employee lifecycle activities.
- Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint.
- Excellent verbal and written communication skills.
- Strong organizational, time management, and multitasking abilities.
- Customer service-oriented mindset with a commitment to employee satisfaction.
- Strong analytical and problem-solving skills.
- Ability to work independently and collaboratively in a team environment.

- Work is primarily performed in an office environment.
Education & Experience
Required
- High School Diploma or GED equivalent.
- Minimum of two (2) years of customer service, administrative, or related experience.
- Minimum of one (1) year of experience supporting Human Resources, onboarding, recruiting operations, or People Operations functions.
Preferred
- Experience working with Human Resource Information Systems (HRIS).
- Experience supporting employee onboarding, compliance, or HR reporting functions.
