Job Description

Panera is looking for a dynamic Office Services Coordinator to lead day-to-day operations and ensure an exceptional workplace experience at our Newton Support Center. This hands-on role blends operations, hospitality, event logistics, and facilities management, acting as the go-to liaison between Panera, building vendors, and internal teams.  The role is based in Newton, MA and requires on-site presence five days a week. 

Responsibilities

Workplace Experience

  • Welcome visitors with Panera warmth; manage front-of-house hospitality.
  • Organize and support on-site events, meetings, and catering—from planning to execution.
  • Collaborate with IT and AV teams to ensure seamless meeting support.

Administrative Support

  • Maintain Office Services email inbox, promptly addressing facility or service requests.
  • Schedule and coordinate internal meetings, submitting invites and booking rooms as needed.
  • Manage expense reports, corporate card transactions, and oversee vendor contracts and invoicing.

Office & Facilities Management

  • Serve as the primary liaison with property management and vendors to ensure timely maintenance, janitorial oversight, and workplace improvements.
  • Oversee mailroom operations (inbound/outbound, FedEx, UPS, USPS), copy rooms, supply ordering, and inventory.
  • Lead safety and security efforts, including badge issuance, emergency protocols, and coordination with local first responders.

Culture & Engagement

  • Develop and maintain strong relationships with suppliers and catering partners to elevate the employee experience.
  • Partner with internal stakeholders to coordinate employee engagement events.

Qualifications

  • B.S., B.A. in business administration or other relevant area preferred, or an Associate’s degree with work equivalency
  • 1-2 years of experience in professional office environment
  • Proficiency in MS Office Suite (Outlook, Word, Powerpoint, Excel, Teams)
  • Must be able to lift and carry up to 25 lbs.
  • Excellent organizational, communication and time management skills
  • Ability to multitask, stay calm under pressure, and adapt quickly to evolving needs
  • Friendly, service-oriented demeanor with a collaborative spirit
  • Self-starter who is resourceful, detail-focused, thrives working independently, and is able to work on-site 5-days/week (M-F)
