Position Summary:
Florida Atlantic University is seeking a Coordinator, Office of Principal Gifts – Boca Raton, FL.
Summary of Responsibilities includes:
Serves as primary point of contact for staff working with the Office of Principal Gifts and Foundation Relations and assists in building internal relationships through consistently satisfactory frontline contact.
Maintains records and documents and ensures that they are organized and accessible.
Helps to manage the busy schedules of the team to achieve maximum efficiency and impact. Assists with managing projects, tasks, and workflow.
Draft briefings, correspondence, meeting agendas, and memos. Manages correspondence, memos, reports, and prospect briefings using the CRM database (Raiser’s Edge). Coordinates internet research, data gathering, and general information in collaboration with Prospect Research colleagues.
Makes travel arrangements, including booking travel and accommodations; manages trip itineraries, scheduling appointments, confirming locations, and troubleshooting during travel days as needed.
Prepares expense reports and ensures that all trip follow-up is completed, including preparing debriefs and making database updates.
Schedules meetings and appointments, and updates the team on all schedule changes. Anticipates and resolves scheduling conflicts and proactively reviews calendar to ensure team members can meet key deadlines.
Maintains electronic files on principal gift prospects and projects.
Collaborates with colleagues to plan and execute prospect events, assemble and prepare event materials, send out and track invitations, send out reminders, and plan the menu and event timeline. Maintain various tracking reports to ensure accurate and up-to-date information on prospects and event attendance.
Participates in processing complex, high-level gifts through the proper channels. Informs the team of completed gifts and communicates with colleagues to ensure accurate stewardship.
Cultivates favorable relationships with campus partners to help accomplish the goals of principal gift fundraising.
